RutgersWPF Indonesia is an organisation working on sexual reproductive health and rights (SRHR)
and sexual gender based violence (SGBV). We have a longstanding expertise in this field and
work together with organisations in many other countries. RutgersWPF Indonesia
consists of a dynamic team of 20 staff members. RutgersWPF Indonesia works
together with many partner organizations in promoting SRHR and working on
prevention of SGBV.
Currently RutgersWPF Indonesia is looking for enthousiastic
candidates for the following temporary position. We are interested in candidates
with experience in working on SRHR issues and who are available on short notice:
Conference Coordinator (for 4
months)
Based in Jakarta, 1 (one) position
Core Tasks :
- Ensure that all the required administrative tasks and logistics associated with the events are carried out successfully including prepare and oversee pre-conference logistics (signs, banners, registration packet materials, etc).
- Arrange needed procurements of meeting packages, venue booking and other supporting materials (leaflet/flyer) and stationeries, prepare list of participants, confirmation with invitees prior to the event.
- Assist the program officers in conducting the selection process for young people to attend the youth camp and the event.
- Prepare, send out and confirm invitations.
- Work together with communication officer on the production of event materials (leaflet/flyer, short film, policy brief, etc).
- Prepare for registration fee, accommodation, airfare, per diem, and local transport for Rutgers WPF Indonesia program staffs to attend ICFP 2015 and national journalist to cover the event.
- Regular update on the progress status to the Country Representative and program staffs and keep all relevant parties informed on issues and challenges face for further solution/decision.
- Organize, document and follow up on planning meetings, including follow up on to-do list.
- Handle all communication and correspondence on the conference.
- To be the person-in-charge during the event, for all matters related to all side events and press and coordinate with partners in Bali.
- Managing all events and act as time keeper and ensure information is distributed
Requirements:
- Able to work with minimum supervision. Having a good knowledge and awareness about sexual and reproductive health and reproductive rights issues especially on sexuality, gender and human rights.
- University degree in Social Sciences, Management or other closely related discipline is required.
- Having minimum 3 years experience in event/conference organizer.
- Excellent in interpersonal communication.
- Detail oriented, reliable, self-motivated and can work well with low supervision.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc).
- Demonstrate excellent oral and written communication skills in English and Bahasa Indonesia.
- Willing to work mobile and during weekend.
- Must be able to work with deadlines.
- Extremely well organized.
