Training Assistant
I. Overview
Chemonics International was founded in 1975 and is one of the largest U.S.
consulting firms providing
expertise in developing and emerging-market countries for initiatives financed by the U.S.
Agency for International Development (USAID).
II. Position
Name
Training Assistant
III. General Responsibilities
This is a cross-cutting position and it is expected
that the Training Assistant will help the Training Coordinator/Specialist approach the short-term in-country training
requirements for the project in a holistic manner. The position of Training
Assistant will be responsible for assisting the Training Coordinator/Specialist in the management, design, and execution of training
programs carried out or supported by project. The
Training Assistant will complete work in compliance with USAID
regulations and the contract signed by USAID and Chemonics.
The Training
Assistant will at all times adhere to and act according to the Chemonics
Professional Code of Ethics (“Living Our Values”) and will make the principles
of the Code a part of the project’s culture and standard operating procedures.
The Training Assistant will also
ensure that a good and professional relationship with the counterparts
and is fostered and maintained
throughout the life of the project.
Under the
Training Coordinator/Specialist’s direction the Training Assistant will contribute to
the annual work plan and other reporting and monitoring and evaluation needs.
The Training
Assistant will be ready to undertake other project duties as required by the
Training Coordinator, if needed.
IV. Specific
Duties
Ensure short-term training events meet organizational and
administrative quality goals, including all record keeping, data on
participants and bills from vendors are complete, so that that project contract performance targets and deliverables are completed
in a timely and cost-effective manner. Specifically the Training Assistant will carry out the
following tasks, among others as needs dictate:
§ Coordinate all logistical aspects of trainings
including arranging travel, processing travel clearances, and fielding consultants.
§ Label and maintain all administrative files in regard
to trainings including travel clearances/itineraries, consultant transport and
lodging information, and all other non-accounting related documentation.
§ Provide administrative support to the Training
Coordinator/Specialist and
Technical Leaders.
§ Prepare brief reports of trainings convened or
attended by the Training Coordinator/Specialist and Task leaders and the financial report of the
training(s) he/she is
responsible for.
§ Assist the Training Coordinator/Specialist in hosting project visitors and arranging meeting
details.
§ Help the Training Coordinator/Specialist send monthly expenditure reports and back-ups to
Chemonics’ home office
§ Fulfill other administrative functions as required
V. Qualifications
- Minimum holding Bachelor Decree
- at least 5 years administrative, management, training experience, preferably with large-scale international projects
- Successful experience working in a diverse, fact-paced environment
- Excellent computer and typing skills; familiarity with Microsoft Word is preferable
- Familiar with office administration duties including faxing, photocopying, answering phones, arranging meetings

Prior experience with technical assistance projects and work with
donor-funded projects is preferred.

Written and verbal fluency in English is necessary.
·
Strong inter-personal and communication skills are desired.
VI. Reporting
The Training Assistant will report
directly to the Training
Coordinator/Specialist. She will prepare regular oral and written progress reports that
demonstrate the status of project activities toward expected results, as well
as other reports as required.
As teamwork is crucial to the
success of the project, the Training Assistant will be expected to coordinate
work with other technical, managerial and administrative project staff, as per direction from the Training Coordinator/Specialist
and Deputy Chief of Party.
