THE POST: PERSONAL ASSISTANT FOR GLOBAL PROJECT LEADER OF INDONESIA FOREST
Job Summary:Working
with Project leaders and team when required, you will be providing
robust administration and logistical support. The role is requires an
individual with a professional, intelligent and responsive approach,
capable of working with a high degree of autonomy, a positive attitude
and extensive attention to detail. Displays professional sensitivity,
high levels of confidentiality and flexibility, as well as maturity in
day-to-day dealings with stakeholders and colleagues. Ideally, s/he has
extensive professional experience in this or in a similar role.Responsibilities:
- Extensive diary management
- Plans and manages travel arrangements and itineraries
- Translation of Indonesian to English documents and vice versa
- Answers phones and handle all calls efficiently and professionally
- Monitors emails and other correspondence and respond as appropriate
- Effectively liaises with teams and other contacts; including setting up and coordinating meetings
- Produces and coordinates proofreading of correspondence, documents and presentations Administrative responsibilities including filing, time sheets, maintenance of records, mailing lists etc Ad-hoc project work dependent on team needs
- Handles administrative and logistical duties for the PL and the team, including setting up the team room and arranging administrative supplies as required.
- Taking notes on the meeting and team meeting and circulate to the wider teams

- At least a Diploma or A level Certification from an established educational centre
- At least 3-5 years of relevant Executive Assistant support to more than one senior person
- Strong in English and Bahasa Indonesia in written and speech

- Ability to communicate to team members globally by phone and email in a clear, concise manner
- Able to work on own initiative and to have a solutions-orientated approach
