Cocoa Sustainability Partnership (CSP) Vacancy:Finance and Admin Officer, Makassar

We are looking for a
FINANCE AND ADMINISTRATION OFFICER

Cocoa Sustainability Partnership (CSP) is a public-private forum for the advancement of communication and working together between stakeholders actively engaged in cocoa development initiatives in Indonesia. CSP exists to increase communication, coordination and collaboration between public and private stakeholders engaged in cocoa sustainability activities in Indonesia for the mutual benefit of all cocoa sector stakeholders. Members of CSP include the Government of Indonesia (GoI), national and multi-national companies, national and international NGOs, donors, research agencies, certification labels and academics working together towards sustainability of Indonesian cocoa sector. The day to day management of the forum is run by CSP Executive Office, based in Makassar.

CSP Secretariat is looking for a qualified candidate to fill the post of Finance and Admin Officer. This is a full time post will be based in Makassar.

Purpose of the Position:
The Admin and Finance Officer is responsible for maintaining financial, accounting, administrative and personnel services in order to support the executive office and forum operations.

Report to:
Supervisory Board Treasurer and the Executive Director

Duty Station:
Makassar

Main Duties and Responsibilities:
1. Finance functions:
  • Ensuring the respect of CSP’s financial policy and procedures in all financial transactions; 
  • Making sure all expenses related to CSP have been approved by designated officer and in accordance with CSP’s financial system procedures
  • Document and record all financial transactions into the financial software.
  • Preparing and monitoring all advances payment of CSP’s activities and report regularly to designated officer 
  • Issuing payment and receipt vouchers related to CSP’s expenses
  • Transferring and/or depositing fund related to CSP’s programs.
  • Managing cash fund float by ensuring re-imbursements are made on time and disbursements are accounted for properly
  • Preparing payment of staff salaries
  • Preparing monthly requests for funds required for the secretariat operation. 
  • Preparing bank reconciliation report on monthly basis. 
  • Preparing monthly, quarterly and annual financial report 
  • Performing any other related tasks as may be assigned.
2. Administrative functions:
  • Administering ingoing/outgoing mail and maintaining the general filing system related to Executive Office under supervision of the General Secretary 
  • Administering routine secretarial duties, such as filing documents, drafting routine correspondences, reception, registration and dispatching of external courier, booking of hotels, flights and the obtainment of other travel requirements for CSP staffs and consultants.
  • Providing assistance in organizing Task Forces and General Assembly meetings, seminars, workshops, training courses, and other meetings in and outside of office 
  • Making sure that the procurement system is in compliance with CSP’s procurement procedures.
  • Registering and monitoring CSP’s assets/equipment
  • Ensuring the timely maintenance, proper management and use of all CSP’s equipment.
  • Performing any other related tasks as may be assigned.
3. HR Functions:
  • Maintain record of staff contracts, attendance records, leave records and any other personnel related documents.
  • Assist in recruitment of staffs which includes making advertisement through media, CSP networks, etc.; short listings of candidates, interviews, drafting contract, etc. 
  • Performing any other related tasks as may be assigned.
Requirements:
  • Bachelor degree in accounting, management, finance or related fields.
  • Minimum 5 years’ experience in finance or accounting or general project administration and management.
  • Knowledge of GAAP and understanding of basic principles of funds accounting.
  • Experience in grants accounting preferred
  • Solid knowledge of and experience with accounting software.
  • Proven organizational skills and attention to detail. Able to establish priorities and achieve deadlines.
  • Strong interpersonal skills, demonstrate abilities to work in multi-culture environment.
  • Able to work independently and under challenging environments.
  • Good command in English, writing as well as speaking.
