SCI seeks Admin & Logistic Assistant, Jakarta

Save the Children is an international non-profit organization that focuses on the fulfillment of children’s right. Save the Children was first established in May 1919 in the U.K. and to date has 28 Save the Children Offices and operations in more than 120 countries worldwide. In 1976, Save the Children signed an MoU with the Ministry of Social Affairs of the Republic of Indonesia, followed then by the operations of Save the Children throughout Indonesia. Currently, Save the Children work in 11 provinces with a variety of program areas, such as: Education, Health and Sanitation, Livelihood, Child Protection also Disaster Risk Reduction.

Save the Children is committed in conducting its programs in a way that is safe for children beneficiaries and to help protect children with whom Save the Children in a relationship. As a humanitarian organization, Save the Children is obliged to create and maintain an environment to prevent any sexual exploitation and sexual abuse of children as well as to promote the implementation of child safety policies.

Now we are looking for a position of:

ADMIN & LOGISTIC ASSISTANT (code: ALA-SS), based in Jakarta Country Office, 1 position

Reports to: Admin and Logistic Officer

Other Reporting and Coordination Responsibilities:  The Assistant has coordination line with Sr. Support Services Manager and is expected to work in close cooperation with other admin and logistic staff.

JOB RESPONSIBILITIES:

Administration
  • Ensure timely and accurate payment for vendors, service providers including utilities payment for the office and guest houses.
  • Assist in ensuring maintenance of office and asset to comply with safety and health regulation
  • Ensure adequate vehicle insurance coverage and timely registration and permit
Logistic
  • Assist in ensuring that all procurement for both goods and services is done in an appropriate, efficiently, timely and transparent manner as per Save the Children International Policies and procedures and internal audit requirements.
  • Assist in updating asset management, vendor lists and warehouse stocks.
  • Assist in the fleet management to ensure cost effective and compliant with SCI standards
  • Ensure well stocked office supplies
QUALIFICATION
  • Minimum diploma degree or equivalent
  • Recommended a minimum of 1 year of experience in a corporate or an NGO environment
  • Ability to plan and organize a substantial workload that includes complex, diverse tasks and responsibilities in both development and emergency contexts
  • Willingness and ability to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
  • Demonstrated credibility with colleagues and stakeholders at all levels of an organization
  • Good oral and written communication skills in English
  • Leadership skills, including the ability to supervise and motivate the team with strong personal value systems
  • Analytical, decision making and strategic planning skills and the ability to handle multiple priorities
  • Ability to coach, mentor, delegate appropriately and provide developmental guidance to supervised staff
  • Team building skills
  • Competent level skills in core IT applications, particularly MS Office
  • A commitment to the values and principles of SC
  • Experience of exposure to developing countries
  • High level of commitment to the principles of development and to the organizational and programmatic goals of  Save the Children
