Eijkman Institute seeks a highly motivated, of integrity, and organized individuals for position as :

1. Grant Officer
Responsibilities:
  • Providing and managing finance and accounting functions both Eijkman Institute and grants, including the monthly financial reporting, ensuring that all transactions are properly processed, recorded, and reported on time.
  • Communicate regularly and assist management in overall financial management for grants, includes planning, budgeting, audit, procurement, reporting process.
  • Administer and monitor the financial management for grants, includes planning, budgeting, audit, procurement, and reporting process.
  • Administer and monitor the financial system in order to ensure that municipal finances are maintained in an accurate and timely manner.
  • Maintain the accounts payable and accounts receivable system in order to ensure complete and accurate records of all moneys.
    Submit verbal and written reports in an accurate and timely manner as required.
  • Maintaining all grant and subcontract hard and soft copy files including, but not limited to grant applications, evaluation documents, certificates, grant agreements and amendments, technical reports, deliverable, financial and cost-share reports.
  • Collect, review, and report on cost-share contributions submitted by grant recipients.
Requirements:
  • Bachelor degree in accounting from reputable university.
  • Minimum 3 years experience, including finance, assist to budget/subcontracts management, accounting report.
  • Demonstrate financial ability to understand and effectively use financial information.
    Experience in administering financial regulations, system and procedures.
  • Experience in the operation of project offices for donor funded development assistance projects.
  • Knowledge of development assistance contracts and projects.
  • Proficiency in MS office, working knowledge of any accounting software is preferable.
  • Must be fluent in English and Indonesian, both oral and written.
  • High level of independence, and demonstrates the core competencies of communication, productivity, quality, and responsiveness
  • Knowledge of USAID rules and regulations.
    Able to work as a team or individual.
  • Ability to start immediately.
2. Secretary

Responsibilities:
  • Coordinate office management activities.
  • Receive and screen incoming correspondence letter; organize documents; handle some matters personally and forward appropriate materials to the Director or to the other staff.
  • Compose letters and memo in response to incoming mail or calls.
  • Prepare agenda and collect materials for meeting and conferences;
  • Take minutes and keep records of proceedings of any of the meetings of the CD in or out of the office as required.
  • Plan and coordinate arrangements for professional conferences.
  • Review, proofread and edit documents prepared for the Director's signature.
  • Compile and maintain records, statistical information, and reports.
  • Establish and maintain various filing and records management systems.
  • Make domestic and foreign travel arrangements; prepare itineraries; prepare and compile travel vouchers, maintain all travel records.
  • Must be fluent in English and Indonesian, both oral and written.
  • Provide administrative support when required.
  • Perform other duties as may be assigned.
Requirements:
  • Minimum Diploma III  in administration or secretary.
  • Minimum 3 years working experiences in similar Job.
  • Must be fluent in English and Indonesian, both oral and written.
  • Ability to work under pressure, using own initiative.
  • Willingness to accept change and new challenges.
  • Highly confidential.
  • Excellent IT skills.
  • Flexible.
  • Shorthand would be an advantage.
  • Pro-active and outgoing with good communication and organizational skills.
  • Team Work oriented
  • Ability to start immediately.
