Save the Children has worked in Indonesia since 1976 to promote health and nutrition, education, child protection, livelihoods, and emergency preparedness and response. Save the Children has grown enormously in the country and today we operate in 13 provinces across Indonesia. Our program in Indonesia has made significant progress at the national policy level.
Exceed is a 4-year project being implemented in Bandung - West Java, Surabaya – East Java, Yogyakarta – DI Yogyakarta, Semarang – Central Jawa, Bandar Lampung – Lampung, Pontianak, Singkawang, Sambas, Sanggau – West Kalimantan with a total budget of USD 5,5 million - funded by USDOL. The overall aim is to reduce and prevent the number of children engaged in exploitive child labor (ECL), including the worst forms of child labor (WFCL), particularly in the following areas: commercial sex work, domestic service, plantation (specifically palm oil) work, and girl street children, in targeted areas. Currently Save the Children immediately need for an experienced staff to be part of our team and will be based in Jakarta.
The position we are looking for:
1. Program Assistant EXCEED/Country Director (code: PA E/CD – Jkt) – 1 post, based in Jakarta
The post holder will directly report to EXCEED Senior Program Manager and Save the Children international Country Director. She/he will responsible for supporting all EXCEED Program in compliance with financial policies, procurement procedures and accounting control with 60 to 75% provide secretarial, administrative, finance and program-related support to EXCEED Program Manager and 25 to 40% provide administrative support and general secretarial duties to Country Director in his daily tasks.

Core Responsibilities
- Perform general secretarial duties and general support functions relate to EXCEED program to the Country Director, Program Manager, Deputy Program Manager, Monitoring and Evaluation Specialist, Return and Reintegration Specialist and Advocacy Specialist.
- Responsible for payment of all EXCEED’s partners expenditure.
- Establish and maintain files of incoming and outgoing communication, program documents, reports and materials.
- Arrange and set up meetings with Government, partners and other relevant parties.
- Provide logistical support for workshops and conferences including planning, minutes and follow-up.
- Assist PM in the preparation of consultant agreements and service contracts, in coordination with HR department and maintain files for agreements and service contracts.
- Assist PM to prepare and keep cash advance if needed for program activities based on the budget allocation, check/verify invoices, check/verify supporting documents attached to the invoice.
- Draft meeting minutes, official letters, memos, etc. as requested by the Program Officer and Program Manager.
- Maintain library of program reference documents, files, etc.
- Assist the Team for travel arrangement and related tasks for Program Manager and other program staff.
- Provide administrative and general secretarial duties to the Country Director in his daily tasks not related to the EXCEED program.
Occasional Significant Duties
- Provide support during humanitarian responses to the country director or designee.
- Provide support to Administration.
Education: Education College graduate (D3).
Skill and Experiences:
Skill and Experiences:
- Minimum 1 year secretarial experience, preferably with NGO and or health or education related field.
- Timely arrangement of payment to EXCEED’s partners/consultants.
- Accurate accounting and documentation skills.
- Ability to work flexibly and with minimal supervision with energetic personality.
- Proven strong filing management & organizational skill.
- Proven effectively use MS Word and Excel.
- Excellent oral and written communication skills in both Bahasa Indonesia and English.
