Office Assistant - World Food Programme, Jakarta

World Food Programme, Indonesia invites applications from the eligible candidates for the following position:

Position: Office Assistant
Contract Type: Special Service Agreement or Service Contract
Duration: 6 months with possibility for extension
Duty Station: Jakarta, Indonesia

Accountabilities:
Under the direct supervision of the Head of Unit, and  the Senior Administrative Assistant, the Office Assistant will be  responsible for the following duties:
  • Maintain the reception area and back-up for the Security Guard;
  • Act as switchboard operator, ensuring that all incoming calls are transferred to concern staff;
  • Receive visitors and notify respective staff before they are allowed inside the main office and/or request concern staff to meet them at the reception area; 
  • Record and ensure distribution of all incoming mails and fax to staff members; 
  • Prepare outgoing pouch to all sub-offices, HQ and other places and to ensure their delivery through courier and other means on a timely manner; 
  • Focal point to receive and register all incoming invoices and payment requests, and distribute to respective Spending Units for the certification; 
  • Assist in preparation of monthly Fuel Consumption Report; 
  • Assist staff in photocopying, scanning documents or any other related job; 
  • General admin support i.e. up-keep of the meeting room, maintenance of office equipment; 
  • Receive and release office supplies, maintain inventory/physical stock file; 
  • Supervise loading and uploading of equipment and supplies (NFI) for requesting units to and from the WFP Office and Warehouses;
  • Maintain records of mobile phone in consultation with Senior Admin Assistant, and consultation with ICT unit for technical matters; 
Perform other related duties, as required.

Qualifications and Experiences:

Education: Secondary school education.

Experience: At least two years experience in support functions, including computer skills and knowledge of simple record keeping procedures Knowledge: Experience utilising computers, including word processing, spreadsheet and other WFP standard software packages and systems. 

Language: Fluency in both oral and written English and Bahasa Indonesia.
