GIZ Indonesia for The Strengthening the Climate Governance of Indonesia Project Job Vacancy: Junior Administrative Professional, Jakarta

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a German implementing organization which provides services worldwide in the field of international cooperation for sustainable development. GIZ has a record of more than 20 years of involvement in the area of climate policy in Indonesia.

GIZ in cooperation with the Direktorat Jenderal Pengendalian Perubahan Iklim (DGCC) of KLHK is currently implementing “Strengthening Climate Governance of Indonesia for Implementing the Paris Agreement” (climate governance) project. The objective is to strengthen the climate change-relevant institutions of the Government of Indonesia in their climate governance capacities and supporting the further development of core elements of the Indonesian climate policy in order to prepare for a successful implementation of the Paris Agreement.

Working towards this aim, the project shall be implemented over approximately 3,5 years clustered into four work areas.

Those are:
  • Strengthening strategic capacity of key actors at national level (KLHK/DGCC and BAPPENAS) 
  • Strengthening inter-ministerial coordination
  • Support effective societal consultation and strengthening of Non-Party-Stakeholders
  • Support international exchange and communication (Externalization)
GIZ seeks a qualified Indonesian candidate for one position of: Junior Administrative Professional

Responsibilities
  • Assist in financial administration and financial management in line with GIZ standard procedures.
  • Assist in task concerning the filing system and other documentation
  • Assisting and supporting the Office Manager in organizing schedules, events, trips and follow up of requests, pending tasks and communication.
Tasks
Financial Administration
  • Operate petty cash including maintaining cash book, monitor the daily cash flow record and level of liquidity
  • Responsible for cash management in accordance to the receipts presented on a daily base
  • Arrange and execute monthly payment such as telephone, mobile phone, email, internet and other fees and its administration 
  • Monitor account payable/receivable and monthly feed back to the project
  • Report when there is surplus or deficit of cash money respectively and when cash amount exceeds the amount according to regulation
  • Check incoming invoice and arrange the payment
  • Report when the stock of money is at the minimal level of IDR 1,000.000,-
  • Check and calculate the Mobile Phone bill and Blue Bird e-voucher
  • Support the Office Manager in following up monthly Error Sheet and in settling the third-party receivable (TPR) of project and office journal

Event and Travel Management
  • Supporting the Office Manager to organiseand coordinate logistical aspects for planning, holding and documenting meetings, workshops, seminars and other events
  • Monitors preparation of workshops, training and other events according to the project’s operational plan
  • Arranges travel arrangements for staff such as booking tickets, flights, hotel reservations, transport etc.) for domestic and international travel, in coordination with TEO team at GIZ Country Office Indonesia
  • Monitors & collects the refunded air ticket referring to project and office journal

Other duties/additional tasks
  • Reports all problems with financial administration and compliance without delay;
  • Is responsible for filing in accordance with GIZ rules;
  • Performs other duties and tasks at the request of the superior
  • Contributes actively to a good working climate and team working within the project

Required qualifications, competences and experience
  • At least diploma degree from a commercial academy (accounting)
  • Minimum of 3 years of GIZ relevant occupational experience in a similar position
  • Excellent command of MS-Office
  • Able to work under pressure
  • Excellent communication skills and integrity

Other knowledge, additional competences
  • In-depth knowledge of accounting software
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Very good knowledge of the European language widely used in the country, ideally a knowledge of German
  • Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with the Principal Advisor and Deputy
