government policies on the environment and effecting changes in business
practices which lead to various environmental problems.
Greenpeace in Southeast Asia
Greenpeace
opened our first office in Southeast Asia in 2000. In that time we have led
successful campaigns throughout the region, securing fresher air, cleaner water
and a healthier environment through changing industry practices and government
policies. Greenpeace actively campaigns across the region to catalyze an energy
revolution, protect ancient forests and our oceans, create a toxics-free future
and create a shift to sustainable agriculture.
Greenpeace
has three offices in Southeast Asia (GPSEA) —in Thailand, Indonesia and the
Philippines and each office is currently composed of six departments: Campaigns,
Fundraising, Communications, Mass Mobilization ( all under Programme), Human
Resources and Organizational Support (under Operations). Currently, Greenpeace Southeast Asia employs
nearly 200 staff across the region, excluding the direct dialogue fundraisers.
THE POST: Programme Director Assistant
Job Summary:
In this role, you will assist the Programme Director in executing,
improving and implementing systems and procedures primarily in the areas of
internal communication and proactive task follow ups within programme
departments. Programme management forums and their supporting roles; assist in preparation of programme related
projects and budget monitoring and reports mechanisms; and ensuring the
provision of logistical and administrative support to Programme Director.
This is a full-time position
with an initial 2 year contract.
Key Duties
1.
Assist
the Programme Director in implementing and proactively facilitating internal
communication flows/systems and procedures for effectively managing GPSEA
programme developments and operations.
2.
Assist
the Programme Director in the organization of programme meetings/management
forums and related travels.
3.
Taking
minutes, keeping and maintaining records and proactively following up tasks and
requirements related to Programme management forums.
4.
Develop
and maintain strong cooperation and coordination with other Programme issue
area/Country Directors and Org Support department assistants.
5.
In
coordination with the Organizational Support Department, regularly monitor and
keep track of programme coordination budget expenditures, including monitoring
of Programme Director’s line managed staff submission of monthly reconcilers
and ensuring operational budget requests submissions and approvals on time.
6.
Assist
in the preparation and submission of
projects monthly and quarterly reports, project evaluation.
7.
Assist
in maintaining programme calendar, ensuring it is being a living document,
through close communication with programme unit/departments.
8.
Participate
in programme forums discussions and planning regarding strategic issues within
GPSEA.
9.
Provide
assistance to Programme Department in day to day operations/logistical needs
including arranging schedules, bookings of VCs, arranging travels (in
coordination with the country Admin), managing incoming and outgoing messages,
filing of relevant data/records.
10.
Perform other job-related duties as requested
or assigned by the Programme Director.
Educational
Background & Fundamental Qualifications
Bachelor’s degree/ or at least a Diploma
or A level certification
Administration or related course
At least 5 years of relevant experience
in providing support to executive roles
Functional
Skills
·
Excellent communications skills in English (both
written and oral) and at least one of the major language spoken in the
Southeast Asian region
·
Strong documentation, writing and presentation skills
·
Proven excellent ability to prepare meeting minutes
and reports
·
Demonstrated ability in planning and organizing
meetings
·
Excellent computer skills including mastery of program
on database management and budget preparation
·
Ability to carry out budget forecasting and prepare
annual budget for Programme Department

THINGS YOU SHOULD KNOW BEFORE APPLYING TO THIS
POST
WORKING HOURS
Normal hours of work for full time
Employee will be forty (40) per week or (5) days in a week, at 8 hours per day
excluding an hour lunch break. This will be from Monday to Friday, between the
hours of 8:30 am to 6: 30 pm. Ordinary hours
of work may be varied as agreed between staff and the line managers.
LEAVE
A permanent employee will be entitled to the following leaves:
Annual Leave: 20 days
Parental Leave: As per labor laws
and Greenpeace policy
Long Service Leave: 2 months paid leave after 5 years of continuous
service
Compassionate leave:
maximum of 5 days for the death of significant others
SALARY
In determining salary offer for this position,
Greenpeace applies its Salary Grading Process, taking into consideration the
job description and applicant’s previous experience, and the organization’s
salary grade.
