WFP Vacancy: Admin Assistant for Vulnerability Analysis and Mapping (VAM), Jakarta

Position : Admin Assistant for Vulnerability Analysis and Mapping (VAM)
Contract Type : Service Contract
Duration : 6 months with possibility for extension
Duty Station : Jakarta, Indonesia


Background
The World Food Programme (WFP) is the United Nations' frontline agency in the fight against hunger. The World Food Programme in Indonesia supports the Government's commitment to achieve food and nutrition security for all. As part of this goal, WFP works to enhance national capacity to analyse and monitor food and nutrition security. A key instrument in doing so is the development of national and provincial level food security and vulnerability atlases. These have been produced since 2009 in partnership with the National Food Security Agency. The atlases provide a detailed spatial overview of food security and nutrition in Indonesia, highlight key food security issues and form the basis for developing food security policies and prioritizing support.


The Admin Assistant would be responsible for supporting the VAM team on the development of the 2014/2015 provincial atlases for East Java, NTB, NTT, and Papua.

Main responsibilities
Under the supervision of the Head of VAM unit, the Admin assistant will be responsible for the following duties:
  • Assist the VAM Unit in planning and arranging meetings, workshops and other capacity development related activities, particularly in financial and administrative arrangements; 
  • Under the supervision and technical guidance from relevant team members in the Unit, support the facilitation of food security related trainings for the government counterparts;
  • Provide secretarial support to the Unit when required, including drafting correspondence, producing workshop minutes, summary of outcomes, and translation of materials in Bahasa Indonesia-English / English-Bahasa Indonesia;
  • Initiate and process administrative actions such as those found in human resources, travel, procurement, disbursement;
  • Assist in monitoring status of expenditures and allotments through WFP corporate systems, record variations, update budget tables and consolidate data for budget review;
  • Assist in data collection, data entry and cleaning as needed;
  • Assist in producing basic reports for administration of the Unit;
  • Prepare travel arrangements in line with administrative rules and procedures;
  • Assist with day-to-day administration of contracts with external contractors; check contractors' invoices against the goods and services provided and process payments
  • Performs any other relevant duties as may be assigned by supervisor(s).
Qualifications:
Education: Secondary school education
Experience: Minimum 3 years relevant work experience; strong preference for experience in the UN system. Experience organizing workshops is required.


Knowledge and Skills:
  • Proficient with Microsoft Office applications, particularly Excel and Word;
  • Good communication skills and ability to work on multiple activities simultaneously sometimes with short deadlines
Language: Fluency in Bahasa Indonesia and English
