The Wildlife Conservation Society (WCS) has a distinguished history of
scientists exploring and saving wildlife in some of the most remote and wild
places remaining on Earth. WCS has long recognized that successful conservation
requires a long-term commitment to individuals and places. Such a commitment
has defined the culture and style of the Global Conservation Program, including
the Indonesia Program.
The Wildlife Conservation Society – Indonesia Program (WCS-IP) has significantly
grown over the last decades, and contributed substantially to the conservation
of biodiversity in Indonesia. We currently work in several landscapes in
Sumatera and Sulawesi where we aim at protecting threatened species and their
habitat. In order to achieve our overall goal of saving wildlife and wild
places, WCS-IP is currently seeking for qualified candidates to fill the
following vacancy:
Position: Finance Officer
Based in : Bogor
office
Contract period: 1 year with
possibility of extension
The Finance Officer will report to the Finance Manager
and will work closely with the Program Managers, Project Finance and Admin
Officer, Finance Assistant, and Project staff. S/he leads and manages the
Finance Assistant and Field Finance & Administration Assistants.
The Finance Officer
is responsible for maintaining financial and accounting services in order to
meet the requirements of the organization.
The Finance Officer is also responsible for updating accounting records,
preparing financial statements, maintaining cash control, monitoring accounts
payable and receivable and ensuring adherence to policies and procedures to
strengthen internal control.
Responsibilities:
- Prepare vouchers of any payment requests submitted to Finance Department and ensure they are supported by proper and sufficient documentation, followed set procedures and are within the policies of WCS-IP
- Update and maintain financial records of WCS-IP, including accurate record expenditures, in line with WCS Financial Standards and under the authority of Finance Manager
- Coordinate with Finance and Admin Officer in the field to ensure timely submission of financial report (soft and hard copy)
- Review project report and prepare SUN Upload template
- Maintain a complete and orderly filling system for all financial documents
- Responsible for ensuring completeness and accurate documentation attached to vouchers prior submitting for review
- Liaise with bank representative in coordination with Finance Manager to ensure smooth banking operations and maintain good relationship
- Ensure payments are made in timely and secure manner across all the country operations
- Ensure all funds received in country (i.e. donor funds, WCS-NY transfer, advance returns, miscellaneous income) are properly documented, correctly recorded in the financial system and reported to WCS-NY
- Ensure complete accounting records are maintained in good condition for a good period of time (following local, donor and WCS-NY regulation). This includes but is not limited to vouchers, bills, invoices, procurement forms, authorizations, reconciliations, both paper and electronic records
- Provide financial support, training and advice to staff in country
- Provide support and feedback to local partners on financial report submitted with a focus to improve their financial management capacity
- Responsible for preparing books adjusting journal entry as necessary
- Ensure advances are accounted for in a timely manner according to WCS procedures and that an accurate balance sheet is kept of each staff outstanding advance
- Assist Finance Manager in completing audit, both for internal and external audit
- Undertake other tasks as deemed necessary in line with the goal of providing management support to the Country Office as signed by Finance Manager or the other superior
Requirements:
- Bachelor’s Degree in Accounting
- Minimum 3 years successful experience working in similar position with an International NGO
- Knowledge in accounting and experience managing computerized financial systems (Sun System preferred).
- Computer skills mandatory. Proficient in Microsoft Office Applications.
- Strong leadership and interpersonal skills, solid programming, financial and organizational development skills; strong coaching skills and excellent analytical and financial planning skills.
- Strong analytical and interpretative problem solving skills.
- Knowledge of the policies, regulations, reporting formats, and cultures of traditional donors
- Able to multi-task, establish priorities and meet deadlines.
- Good oral and written communication skills. English and Bahasa-Indonesia.
- Concern for wildlife conservation & environmental issues is essential.
