Greenpeace actively campaigns across the region to catalyze an energy revolution, protect ancient forests and our oceans, create a toxics-free future and create a shift to sustainable agriculture.
Greenpeace has three offices in Southeast Asia—in Thailand, Indonesia and the Philippines and each office is composed of five departments: Campaigns, Fundraising, Communications, Mass Mobilization and Organizational Support. Currently, Greenpeace has more than a 140 staff across the region, excluding the direct dialogue fundraisers.
POSITION: Venue Management Coordinator
SUMMARY DESCRIPTION:
The Venue Management Coordinator is responsible for researching, managing and acquiring venues for the Direct Dialogue team so they can effectively have 80% working place in a potential venue to fulfill their job responsibility, allowing them the opportunity to meet Greenpeace’s financial targets. The DD program’s objective is to increase the financial strength and political clout of Greenpeace by recruiting members to give automatic monthly donations through a credit card or a bank direct debit.

RESPONSIBILITIES:
Venue management Strategy :
- Make strategy and build good relationship with potential venue management from external like malls, groups, office, and other public space that can provide place for DD to work and achieve new financial supporters.
- Ensure 80% of DDC working place is in the potential site that can achieve our target market for financial supporter.
- Ensure that the image and core values of organization are well presented, in the term of building relationship with venue management.
- Build strategy to maintain long-term relationship with venue management
- Negotiate with venue management about DD program to make the goal of Fundraising is achieved based on target.
- Manage timeline and venue schedule and budget per quarter and based on the needs of the program for each cities in Indonesia
- Develop, produce and updated motivational and effective Greenpeace proposal packages for building relationship with venue management.
- Analysis and monitor venue performance result and update it into venue grading database.
- Follow up proposal by email, phone or have meeting face to face
- Report the venue performance analysis report to Direct Dialogue Operation Coordinator regularly
- Report all necessary report that track venue contract and success rate of the program to Direct Dialogue Operation Coordinator regularly
- Create a creative event plan for maintenance program as required from Direct Dialogue Operation Coordinator.
Communication:
- Communicate with Direct Dialogue Operation Coordinator about venue performance and analysis result per city and Indonesia
- Communicate with Direct Dialogue Operation Coordinator to make sure good venue relations are being upheld in each city
- Ensure that all City Coordinators know and understand the rules and regulations for each venue
- Regular meeting with Direct Dialogue Operation Coordinator
- Other assignments provided by Direct Dialogue Operation Coordinator
Evaluation:
- Ensure 80% of DD working place is in potential venue and meet our target market for DD program.
- Ensure the analysis of the venue performance result can give a positive feedback to KPI result
- Ensure the relationship is build and maintain well, as the needs of the program and budget
Essential skills required:
- Excellent communication skills both written and oral
- Excellent in negotiation skill
- Good in planning and managing skills
- Ability to work effectively in a team but also to work independently, and unsupervised.
- Excellent in computer skills, Microsoft Office (word / excel), e-mail and database programs.
- Ability to carry out budget and monitoring as well as preparation and analysis of annual and quarterly budgets.
- Energetic, Strategic thinking and Analytical skills.
- Service mind, Hardworking, able to be multi-tasked and able to work under pressure.
- Ability to take own initiative, be flexible and take an extremely proactive approach to work.
- Ability to work flexible hours and availability to undertake frequent metropolitan, regional and occasional overseas travel is a requirement of this position.

QUALIFICATIONS:
- Minimum Diploma Degree.
