Universitas
Siswa Bangsa Internasional (USBI) is an initiative of the Putera
Sampoerna Foundation (PSF) whose vision is to become a sustainable,
internationally-recognized university, inspired by the philosophy of the
Putera Sampoerna Foundation, which will help to build a better future
for Indonesia. Its mission is to educate future leaders who possess the
distinctive USBI characteristics of leadership, entrepreneurship, and
social responsibility, and are committed to giving back to Indonesian
society through a lifelong engagement with the work of the Putera
Sampoerna Foundation.
USBI
has been running the three-year SMART LAB project funded by USAID. The
SMART Lab project aims to establish four models of Science, Technology,
Engineering, and Math (STEM) senior secondary schools and nest them as
nodes in larger linked networks of partner schools working to improve
their own STEM programming. It also aims to train 500 STEM teachers over
the next three years who are able to prepare and inspire 10,000
students through individual and group experiences outside the classroom,
and create a dynamic networks of partners and system engaged in a
spectrum of knowledge discovery and transfer, development of sustainable
feedback
loops that advance the STEM agenda, and improve educator STEM literacy.
I. Name of Position: Program Administrator for the USAID-SMART Lab
Program
II. Main Roles:
Bookkeeping & Procurement
- Manages all financial and administrative aspects of the project and ensures compliance with PSF and USAID financial and accounting policies and procedures.
- Prepares submission of monthly financial statements (including expenses, receivables and payables).
- Ensures timely submission of expense reports, bank reconciliations, and wire transfer requests to USBI finance department.
- Prepares monthly, quarterly and annual expenditures and prepares pipeline estimates for the project.
- Prepares biweekly cash requirements; monitors cash flow and reconciles cash accounts to maintain appropriate cash balances.
- Oversees human resources management and procurement for the project, working in collaboration with PSF/USBI to ensure compliance with PSF/USBI’s policies and procedures in Indonesia.
- Provide day-to-day financial leadership and management of SMART Lab program, working closely with the Project Directors and USBI technical and financial points of contact.
- Provide HR support to USBI Staff, working closely with PSF/USBI to ensure adherence PSF/USBI policies and procedures.
Program
Administration
- Assist in the planning, coordination and arrangements for
successful conduction of program events such as seminars/conferences, training, meetings, presentations, and other: including travel and hotel arrangements, and trip itineraries - Set up appointments/meetings with Government and partner
organizations - Handling administration and financial matters of the program
implementation - Collect and provide necessary information and contribute to the
planning, organizing and developing of all aspects of the program - Ensure timely implementation of activities, in accordance withprogram schedules issued by the Program Manager
- Draft/type letters, faxes, as well as documents and forms related
to Program activities and administrative matters. - Maintain an efficient filling system for all administrative and
operational records. - Perform other duties and responsibilities assigned by Program Directors, Program Manager, Finance & Budget Controller and specialists.
The
Program Administrator will be hired with an initial contract of one
year, with high possibility of extension up to the end of the program.
Start of contract: 1 May 2014
He/she will be working within Jakarta area.
IV. Qualification
- Bachelor (S1) degree in relevant field of work or related studies
- Minimum 3 years of relevant experience
- Good management and administrative skills
- Experienced in maintaining network with government, education institutions andprivate sectors.
- Have the capacity to work both independently as well as in a
team setting - Willing to undertake field travel and work under demanding
conditions. - Ability to establish priorities and undertake assigned tasks
with minimum supervision - Ability to effectively address multiple tasks
- Proficient in spoken and written English, and in in the use of
Office Applications.
