Eastern Indonesia Knowledge Exchange Foundation (Yayasan BaKTI) is looking for a Finance and Admin Assistant.
Following is the Terms of Reference
Background
1. Eastern Indonesia faces significant development challenges. In terms of investment climate, service delivery, governance and the local economy, most eastern provinces underperform the nation as a whole. Isolation, remoteness, low population density, ethnic and linguistic diversity, corruption, limited human resource capacity and conflict have all contributed to the disappointing results of development efforts in the past.
2. To support local, national and international development actors to address these challenges, BaKTI focuses on providing platforms for sharing development knowledge and experience, building bridges and networks among local reform champions, and supporting these actors to work together for change. BaKTI has also played a key role in evolving development approaches that are appropriate and effective for the region.
3. BaKTI's goal is 'improved development in eastern Indonesia', and it aims to support development actors to achieve this broad goal through a focus on four specific objectives:
i. Increased collaboration and coordination in development efforts
ii. Increased knowledge exchange and adoption of good practices
iii. Increased opportunities to influence broader development agendas
iv. Local initiatives piloted, expanded and replicated in eastern Indonesia
4. To support the above objectives, BaKTI has four units: Partnerships, Operations, Communications and Program Development.
5. BaKTI is currently seeking a Finance & Admin Assistant to perform the following duties:
Petty Cash
1. As a Petty Cash Custodian, be responsible for the office petty cash float.
2. Maintain the cash book and reconcile weekly and monthly.
3. Assist the Finance & Admin Officer with forecasting cash requirements and monitor changes.
4. Receive and record monies paid in by staff or others, issue receipts.
5. Maintain safe custody of cash at all times.
Disbursements
1. Ensure all expenditures are approved in accordance with Yayasan BaKTI policies and procedures and procurement procedures.
2. Prepare requests for wire transfers or to pay suppliers.
3. Prepare Bank Expenditure voucher & cheque to pay all expenditures
4. Prepare Bank Receive Voucher to record all incoming transfer.
5. Prepare General Journal Voucher to record all non bank and cash transaction
6. Place "Paid" stamp on all documents that have been paid.
7. Disburse/transfer salaries to staff.
Reporting
1. Two times in a month, FAA must report the cash and bank balance to Finance & Admin Officer.
2. Create an advance list on the closing month, include advances from Petty Cash.
3. Working together with program staff in maintaining the Program's inventory such as books, brochures, pamphlet, etc
4. With assistant from Finance & Admin officer to deliver tax document to tax office.
Administration
1. Be Responsible on collecting Staffs Timesheet every month
2. Receiving all medical claim from staffs and do the recapitulation and send to Health Insurance Provider
3. Perform clerical duties such as faxing, photocopying, creating and maintaining files and filing new information, creating and maintaining spreadsheets, answering telephone.
4. Assist HR Officer in arranging and organizing transportation, accommodation, flight booking for staff and visitors
5. Purchase Kitchen & Office Supplies for BaKTI office and its project
6. Review and Analyse Car Log and compare with all parking/toll receipts
7. Facilitate mail to various regions.
8. Together with Human Resource Officer, check asset periodically and maintain the assets list.
9. To do other duties assigned by the Line Manager and/or Unit Manager.
Qualification:
1. Minimum Bachelor Degree in Accounting or Economic
2. At least three years working experience in Finance and Administration
3. Ability to work with computers and in particular Microsoft Office (excel and word)
4. Having experience in Accounting Software, Quickbooks & ACCPAC Sage 5,6 is a plus
5. Good communication in Indonesian and English, both spoken and written
6. At least two years experience working with international and local Non Government Organizations
7. Initiative, working under pressure and good motivation
8. Having ability to work with minimum supervision.
The position is full time with local hired (no mobilization and demobilization cost-please consider this before applying) and will be based in Makassar, Indonesia. This position will report to Finance & Admin Officer and under supervision of Operation Manager as a Unit
Manager. The assignment will initially be yearly basis with opportunity for extension depending on performance.
