Lowongan Temporary Administrative Assistant, Jakarta

We are currently seeking to recruit a Temporary Administrative Assistant, Jakarta-based to provide assistance for a DFATD-funded project to support Indonesia’s Islands of Integrity Program for Sulawesi (SIPS).  


Main Responsibilities

Reporting to the Finance and Administration Manager in Jakarta, the Administrative Assistant will provide various forms of administrative assistance to ensure that the SIPS regional and field office administrative systems and facilities function in an efficient, effective and dependable fashion.
Key responsibilities will include:
 
·      Ensure establishment and maintenance of efficient administrative systems including filing, IT systems, inventory and other administrative related matters;
·      Keep in contact with Cowater HQ for administrative, procurement and other matters;
·      Maintain accurate and up-to-date inventory of project physical resources;
·      Conduct in-house translation and drafting of letters to be sent out to related government offices;
·      Arrange for air and local travel and hotel accommodations for the SIPS Canadian and Indonesian consultants;
·      Provide administrative and logistical assistance for Jakarta and field-based capacity development activities (training, seminar events, short courses) ;
·      Administer petty cash and prepare Petty Cash Reports;
·      Oversee procurement/purchasing activities for goods and equipment in close contact with the Finance and Administration Manager;
·      Coordinate project security procedures for project-owned resources;
·      Undertake other duties upon request of the  Project Director and Finance and Administration Manager.
 
Qualifications:
             ·          Minimum diploma or Bachelors Degree in Administration or Management;
             ·          Ability to communicate in English both spoken and written is essential;
             ·          Ability to operate standard computer programs (Window, Excel, Outlook & Internet, PowerPoint);
             ·          Ability to build and work in teams;
             ·          Minimum 5 years experience in secretarial, administration area and finance (accounting) & procurement;
             ·          Demonstrated ability to promote and initiate work processes and complete given assignments with minimum supervision;
             ·          Trustworthiness, integrity, good analytical thinking and attention to detail;
             ·          Ability to work under pressure and tight deadlines;
