SCI seeks Finance Assistant - West Java Sub Office, based in Bandung

Save the Children is a leading, private child-focused non-governmental alliance of 29 member organizations that works in 120 countries throughout the world.  Save the Children has worked in Indonesia since 1976 to promote health and nutrition, education, child protection, livelihoods, and emergency preparedness and response. Currently Save the Children implements six projects in Bandung, West Java.
Now, we are looking for a position of :

Finance Assistant – West Java, to be based in Bandung, 1 position
code : FA-WJ
Assist the Finance & Budget Officer to manage the financial and maintain of daily process of transaction for six projects in Bandung, as well as to ensure appropriate, accurate and timely recording of transactions and implementation systematic filing and retrieval system of documents. 
Report to : Finance & Budget Officer
JOB RESPONSIBILITIES
  • Assist Finance & Budget Officer for daily transaction process
    • Review the supporting documents on each transaction to be processed, ensure all supporting documents is complete. Check that procurement procedures have been followed, and immediately followed up if found incomplete documents.
    • Ensure all payments are made in compliance with Save the Children International policies & procedures e.g. they are correctly authorized in accordance with the Scheme of Delegation, coded per relevant budget lines, are supported by relevant forms and documentation.
    • Ensure each transaction using appropriate account code & analysis code
    • Record all of each daily transaction onto GLACOS ( General Ledger and cash offlline spreadsheet )
    • Prepare disbursement voucher, cash receive voucher and also general voucher.
  • Close coordination with Cashier to monitor every batch transactions and petty cash payment
    • Assist Finance & Budget Officer to ensure all transaction have been input by cashier onto web bank accurately & check the beneficiaries data account are match with the Invoice or staff account number database e.g. Name of Beneficiaries and bank details.
    • Review each petty cash transactions; ensure the transaction following procurement threshold procedures and should not more allowed limit.
    • Assist FBO for checking & review petty cash record on GLACOS
    • Assist FBO for daily cash count.
  • Collaborating with Cashier to assist Finance & Budget Officer for preparing midterm & monthly report to Country office.
    • Ensure all prepayment are recorded on GLACOS
    • Prepare bank reconciliation & cash count
    • Prepare accrual payment if any
    • Maintain cash advance aging from Aggresso e.g. highlighting if more than 30 days and send the notification to staff for reminder.
  • Maintain the financial documentation; Ensure all document in finance are filling properly. 
  • Assist Finance & Budget Officer for preparing forecast, monthly cash projection & Fund Request, Budget loader exercise for every projects in Bandung sub office

    • Collect the draft of forecast & cash projection from all budget holders.
    • Check availability of remaining cash balance on bank. 
  • Close coordination with admin & logistic team to maintain simple database for tracking payable, incoming bills & also Receivable; Bi - Weekly reconcile simple database to avoid miss incoming bills or invoicing.
  • Other occasional tasks : 
    • Assist all staff in Bandung sub office if necessary, to provide guidance on how to making cash advance settlement or expense claims correctly. 
    • Finance Leader in charge if Finance & Budget Officer is on leave or unable to attend in office. 
    • Assist Finance & Budget Officer if necessary to generate data from Aggreso Prod. 
    • Any other task required by Finance & Budget Officer 
    • Acting as cashier if She/he on leaves or unable to attend in office.

QUALIFICATION & SKILL
  • 2 years experience in financial and administrative management
  • Familiarity with standard financial and administrative controls
  • Ability to work in a multi-cultural team
  • Excellent communication skills in English & Bahasa Indonesia
  • Have a good attitude and easy to coordination with other staff
