Summary of Job
Description
The Asia Foundation seeks experienced
candidates for Office Manager position.
The Office Manager provides day-to-day management of the Foundation’s office in
Jakarta, which hosts 60-70 staff. S/he
supervises the receptionist, office helpers/cleaners and drivers, and oversees day-to-day
office operations including utilities, internet and telephone service, and
administrative support services. S/he is
responsible for procurement of all goods and non-program services, and ensures
proper asset management and maintenance of office equipment, furniture and office
vehicles. The Office Manager manages the
office lease agreement and leads discussions with the landlord on issues of
construction/maintenance, remodeling, and interior design. The Manager maintains the record system for
assets and inventory, ensures sufficient stationary stock is in place, and
oversees periodic disposal of unserviceable assets. The Manager oversees
budgets for the areas of coming under his/her purview, and ensures value for
money. S/he also oversees the contract
with the IT consultant that maintains the office’s computers and internet
connectivity. The Office Manager is a
key member of the Security Team, and supervises the contract with the Guard
Services, as well as leading office preparation for fire, natural disaster,
theft and other security threats. The
Manager provides routine and ad-hoc management information as requested, and
provides any other duties assigned from time to time.
Relationships
Internal:
Daily
contact with the Senior Operations Specialist and those staff supervised by the
position – receptionist, drivers, office helpers. Regular contact with all
other Foundation staff, and as needed with the Country Representative. Occasional
contact with US-based colleagues in the Field Operations Unit.
External:
Regular
contact with external vendors who provide TAF with goods and non-program
services. Occasional contact with
partner organizations.
Other: Participates in Foundation-led initiatives, task-forces and committees
as assigned. Undertakes other duties as assigned.
Requirements
for Applicants
Experience: Minimum
three years of experience managing an office of a similar size, preferably in a
stand-alone office environment (as compared to managing an office in a
commercial office building).
Education: S1
- Degree level qualification
Other: proficiency
in English – written and spoken; proficiency in Bahasa Indonesia – written and
spoken; proven written and oral communication skills; extreme honesty and
integrity (an absolute must); strong team player; excellent interpersonal
skills; professional organizational abilities; strong attention to detail
Time-frame
This position is on a one-year
contract with possibility of extension based on mutual agreement and
availability of funding.
