Tanoto Foundation(www.tanotofoundation.org)
is a not-for-profit foundation which strives to be a center of
excellence for facilitating and improving access to quality educationand
to empowerment opportunities that contribute to poverty reduction. The
Foundation currently runs a number of philanthropic programs in
Indonesia ranging from scholarship, teachers training, school
improvement programs, research support, to small business development.
Tanoto Foundation is currently looking for a Regional Project Officer (based in Jambi and North Sumatera) and Finance Officer (based in Jakarta). Please find details for both positions below.
Regional Project Officer Riau (School Improvement Program)
The
Regional Project Officer (RPO) will be supporting the implementation
and management of Pelita Pendidikan Program and Improvement Program of
RGE Schools under overall guidance of Pelita Pendidikan Regional Project
Manager and Pelita Pendidikan Program Manager.
Pelita
Pendidikan is a 5-year school development program currently implemented
in several provinces of Sumatra. This program has been implementing
since 2010 and now entering its second year of implementation periods.
The RPO will provide overall supports of Pelita Pendidikan, RGE Schools
and other Tanoto Foundation Program, including but not limited to,
managing programs within responsible areas/sites, communication and
coordination with BU/BG, Counterparts and Beneficiaries; Monitoring and
Evaluation activities, and strengthening branding of Tanoto Foundation
in the areas/sites.
Responsibilities:
1. Supporting
and take responsibilities for the on-going Pelita Pendidikan program
implementation in their working areas/sites, including, but not limited
to:
· Ensuring
the program implementation, program reporting, program budgeting and
program monitoring and evaluation is in line with the approved SOPs,
checklists, action plans, and schedules.
· Preparing
for process processing proposals from schools for Pelita Sekolah Ramah
lingkungan, Pelita Sekolah Aman & Pelita Sekolah Sehat components,
· Take
a lead in processing agreements between the schools and Tanoto
Foundation for all Pelita Pendidikan program components, to be submitted
to Jakarta for approval and signatures, and
· Liaising with
other departments/stakeholders/counterparts within the Tanoto
Foundation especially BU/BG staff, and with relevant service providers
to ensure timely activities is implemented.
· Be responsible in coordinating and managing all training and other activities that implemented within their sites.
· To
prepare work plan of activities within responsibilities sites according
to the needs, and ensure all documentations for running the activities
are well prepared according to the schedule.
2. Supporting
the implementation and documents collecting and process of Beasiswa
Guru Pelita Pendidikan (Tanoto Teachers Scholarships), including but not
limited in identification of scholarships candidates from intervention
schools, documents collecting and ensure the documents are compliance
with the requirements, checklists and other forms as needed.
3. Supporting the process of the following projects:
· Identification
of Human Interest Stories and/or other inspiring stories to be
submitted for to Corporate Communication Department.
· Collecting
baseline and needs assessment data for a new program initiative
(daycare center/ 3Es in Asian Agri), Pelita Pendidikan and RGE Schools.
Duty Station and working condition:
The Regional Project Officer will be based in Tanoto Foundation Regional Office in Jambi and North Sumatera and within designates area/site, with frequent travel to other area/site as required.
QUALIFICATIONS
- Minimum of Bachelor Degree from reputable university, preferable in education back ground, – a Post graduate would be advantageous.
- A minimum of 3 years experience in project management, experience in large scale program (both coverage and budget management), INGO/NGO would be advantageous.
- Having previous experience in Education program, like DBE, would be an advantage.
- Previous experience in liaisons with stakeholders and counterparts, monitoring and evaluation would be advantageous.
- Demonstrated ability to achieve results, including team building – could work independently and as team player
- Knowledge and experience in Project Management is highly desirable
- Strong communication skills, ability to communicate in English (both oral and written) is good.
- Able to do multi-tasking, working in high pressure to meet results, working with minimum supervision and multi-cultural environment.
- Willing to be placed in very remote areas with minimum facilities and supervision.
- Able to use computers and MS Windows Applications (MS Word, MS Excel, MS Power Point)
- Based in Riau and willing to travel to project sites as required.
Finance Officer
The
Finance Officer is a mid-level position based in the Foundation’s
Jakarta headquarters. The position is responsible for maintaining
day-to-day accounting process, processing payments, administration of
tax obligation, assisting the annual budget process, managing banking
relations and the development, updating and implementation of related
Standard Operating Procedures (SOPs). The position is also responsible
for providing financial service and accounting supports to the
Foundation’s various programs, and for liaising with auditors. As
mid-level officer of Tanoto Foundation, this position provides inputs to Management on financial and accounting matters.
RESPONSIBILITIES AND TASKS:
1. Accounting function:
a. Monitor
the implementation and maintenance of accounting control procedures
including develop and maintain financial database, prepare and reconcile
bank statements, perform cash controls and account reconciliation.
b. Ensure
the smooth running of daily accounting and financial transactions such
as record transactions into the computerized system, accurately post and
balance all entries in assigned ledgers.
c. Maintain the accounts payable and accounts receivable systems in order to ensure aging of AR and AP are conducted.
d. Management
of the fixed asset process, policy, and procedure to ensure
depreciation of the Foundation’s fixed assets are calculated correctly.
2. Payment and Budget Processing:
a. Review
requests for payment to vendors originating from both Jakarta office
and field offices to ensure accuracy of information, proper
authorization, proper charging to budget components, compliance with the
Foundation’s procedures, and complete documentation.
b. Process the payment vouchers to ensure timely payments.
c. Maintain efficient filing systems for all payment vouchers and the supporting documentation.
d. Review and prepare payments for expense reports including preparation of monthly Outstanding Advances report.
e. Assist with preparation of the annual budget budgets and monthly forecast.
3. Tax payment and administration:
a. Ensure that taxes are calculated accurately and paid in a timely manner.
b. Ensure that all tax reports are produced and filed in a timely manner.
4. Banking relations:
a. Prepare necessary documentation and complete the authorization for opening and closing bank account.
b. Maintain custody of payment instruction forms, checks, and the registers.
c. Liaise and communicate with the banks on banking issues.
d. Propose investment of temporarily idle funds to the Head of Finance and Administration and to the Head of Tanoto Foundation;
5. Financial review, policy and compliance:
a. Prepare
materials and conduct analysis on finance and accounting report for the
monthly review meeting with Head of FA & Head of Foundation.
b. Assist
the Foundation’s Management in ensuring that all financial and
accounting policies and procedures are updated and understood by all
staff. In this connection, the position also provides training to staff
at the headquarters and at the field.
c. Provide suggestions and recommendations to improve the Foundation’s finance and accounting policies.
6. Audits
a. Conduct inspections to project sites to verify compliance.
b. Participate in implementation of audit recommendations.
c. Liaise with internal auditors and external auditors, including assisting with the preparation of audited financial statements, footnotes and supplemental information
7. Other functions
a. Participate in performance evaluation of peers and supervised staff, if any.
b. Any
other duties that maybe reasonably assigned by the supervisor,
including performance of other staff’s duties within the Finance &
Accounting Unit when the respective staff is not in the office or due to
the heavy workload in certain area.
c. Assist in development and implementation of new procedures and features to enhance the workflow of the department.
d. To manage regular communication/interaction with regional finance team.
SUPERVISES: (Indirectly) Field Finance and Administration Officers.
QUALIFICATIONS:
· University degree in accounting from reputable university.
· At
least 5 years of well-rounded working experience in accounting,
taxation and finance; previous working experience in development
organization or NGO is not a must but is an advantage.
· Having tax brevet A and B would be an advantage.
· Good level ability to communicate in English, both spoken and in writing.
· Proficient in MS-Office, MS-Outlook applications and familiar with accounting software.
· Demonstrated ability to work independently with minimum supervision.
· Detail oriented and organized in work.
· Ability
to work cooperatively and collaboratively with all levels of employees,
management, and external agencies to maximize performance and results
· Willing to travel to project sites.
WORKING CONDITIONS:
The position is based in Jakarta but from time to time may be required to travel to project sites (up to 20% of the time).
