General Administrator or Administrative Assistant
Main Tasks: Organize and manage all administrative tasks and activities, including managing the daily schedule of the Chairman and the CEO. Providing general administration support required by BOS Foundation staff. Develop and maintain good relationships with BOS Foundation internal and external staff, donors, government partners and visitors on all levels.

Administration support to the BOS Foundation
- Provide administrative services to the BOS Foundation including the Chairman and CEO
- Scheduling internal and external meetings and appointments, including venue arrangements
- Maintaining Chairman and CEO’s calendar
- Maintain a comprehensive filing system for the Chairman and the CEO
- Coordinating and arranging the Chairman and CEO’s visitors and personal guests
- Taking minutes in meetings as required
- Screening all incoming letters, papers and documents, prioritise for action and follow up
- Liaison with Human Resources particularly in relation with departmental personnel and recruitment requirements
- Responsible for travel arrangements (flights/ visa’s/ accommodation) for all BOS Foundation Head Quarter staff both domestic and overseas trips and organising travel itineraries
- Drafting, finalizing and distribution of letters as required by the BOS Foundation HQ and programs
- Filing all incoming and outgoing letters
- Drafting MoU’s when required
- Correspondence with researchers, the BOS Foundation Scientific Advisory Board and undertaken collaborative coordination with Program’s regarding the researcher requests / applications
- Correspondence with guests, donors, visitors wishing to visit the BOSF HQ or programs
- Assisting guests with their logistics whilst staying in Indonesia (accommodation, travel, tickets, etc)
- Translating documents as required (Bahasa Indonesia to English and vice versa)
- Other duties and tasks as and when assigned
REQUIREMENT:
- Graduated with a bachelors degree in any major from a reputable university or reputable academy of administration
- Has a minimum of 2 (two) years experience in administration
- Advanced written and verbal English Communication skills
- Computer literate in Microsoft Office and operating Internet based software
- Well organized, good attention to detail, ability to manage and prioritise tasks and work in a team
- Ability to remain calm under pressure, meet deadlines and apply a good work ethic
- Experience in working with an NGO
- Respect for animals
