Organizational Context:
Yayasan Peta Bencana (Disaster Map Foundation) is an Indonesian-based non-profit organization, developing open-source platforms for real-time crowd-sourced hazard mapping. The foundation runs the award-winning project, PetaBencana.id; a free web-based platform that harnesses the use of social media during emergency events to gather confirmed on-the-ground updates from residents, and displays these reports alongside government agency validations on a publicly accessible map. Since its debut in 2013 (as PetaJakarta.org), the PetaBencana.id platform has been used by millions of resident users to make time-critical decisions about safety and navigation during emergency events; it has also been adopted by the Indonesian National Emergency Management Agency (BNPB) to monitor disaster events, improve response times, and share time-critical emergency information with residents. The platform has enabled greater information sharing and data coordination among residents and government agencies, and was awarded the 2019 United Nations Public Service Award for ensuring integrated approaches in public sector institutions.

We are looking to hire an admin and finance coordinator who will be responsible for the day-to-day general financial and administration of the organization.

The candidate will have the opportunity to work with an international, multi-disciplinary team on developing humanitarian infrastructures and build capacities for community-based disaster response. We offer a competitive salary, based on experience.

Duties and Responsibilities:
  • Manage financial operations for research projects, including but not limited to coordinating with accounting and tax consultant;
  • Prepare monthly financial reports and activity-based budget versus expense project reports
  • Track monthly office petty cash expenditure
  • Prepare and manage in a timely manner, payment orders for invoices
  • Maintain accurate banking records, perform bank payment orders and deal with the bank on all financial matters
  • prepare correspondence regarding taxation and health insurance
  • maintain a strong financial filing system and manage to file the financial documents in both hard and electronic form
  • manage administrative and research operations activities, including but not limited to assist with trips, meetings, and translations;
  • Manage staff records
  • Assist in preparing letters, contract, agreement and another document as needed by the project
  • assist with the design, development, and deployment of the PetaBencana.id platform in Indonesia
  • Manage organization’s compliance certificates, completing necessary renewals in a timely manner
Qualifications:
  • University degree in finance and accounting or other relevant disciplines preferred.
  • At least 2 years experience in a Finance and Administration role with similar responsibilities.
  • Experience working with an NGO will be an advantage.
  • Fluency in English and Bahasa Indonesia (both oral and written).
  • Excellent interpersonal skills and ability to work in a team.
  • Ability to work independently, prioritize tasks and to take initiative.
  • Strong attention to detail and problem-solving skills.
  • Honest, meticulous, responsible and well organized.
  • Strong work ethic and commitment to financial accountability and transparency
