Humanity & Inclusion Job Vacancy: Site Administrator, Kupang - NTT Province

Humanity & Inclusion (HI) is an independent and impartial aid organisation working in situations of poverty and exclusion, conflict and disaster. We work alongside people with disabilities and vulnerable populations, taking action and bearing witness in order to respond to their essential needs, improve their living conditions and promote respect for their dignity and fundamental rights.

Humanity & Inclusion is the operating name of Handicap International Federation.

HI has been present in Indonesia since 2005 and in NTT since 2010 and have since contributed to the disability & vulnerable people’s movement through various projects designed to enhance participation of people with disabilities and vulnerable groups in various topics of the development process including inclusive disaster risk management, inclusive education, and inclusive planning and budgeting process. HI is currently implementing Building Inclusive and Sustainable Economic Growth through Civil Society Organizations (CSOs) participation in NTT province (BISEG) project, with the support of funding from the European Union.

In order to support the project implementation, HI is looking for:

Position Title: Site Administrator

Location: Kupang, NTT Province

Closing Date: rolling (this position will be filled as soon as the suitable candidate is identified)

Basic Salary Range: Rp 7.2 – 8.2 million IDR depending on objective weighting of candidate’s profile and non-negotiable.

The successful candidate is expected to start as soon as possible within the fourth week of March 2020

TASKS/RESPONSIBILITIES:
Under the supervision of Finance Manager (Yogyakarta) and overall management of the Project Manager, s/he will provide finance, logistic, administrative and HR support for ensuring functioning of the project office in accordance with HI polices and procedures, and in compliance with donor regulations.

S/he also has to work closely with HI’s partner in the field and provide necessary support when needed. Amongst others his/her tasks in are:

Finance:
  • Manage the cash flow which amongst other things, includes managing safes, cash boxes and banks as well as being accountable in the daily update of the cash box and bank box logbooks in hand-written.
  • Guarantee/ensure the accounts are in good order
  • Ensure efficient and timely flow of crucial information and problems encountered
  • Ensures accounting of partners well followed donor procedure after reviewing their financial reports
Administration:
  • Administrative management of the human resources (attendance sheets, overtimes, leaves)
  • If any, manages the staff placed directly under his/her supervision (writes and updates the job profiles, ensures the appraisal, elaborates and follows up the I.A.P.)
  • Administrative management (rental, service contracts, partnership and funding agreements, organization of the soft and hard archives)
  • Contact person for administrative issues (letters to and from authorities)
  • Ensure that local legislation is respected and that a legal framework is established
Logistic:
  • Ensure the application of logistics procedures in compliance with the legal framework and internal and donor regulations
  • Manage general services (offices, staff accommodations, travel, storage facilities, seminars and trainings)
KNOWLEDGE REQUIREMENTS:
  • Candidate must possess a Bachelor's/College Degree in Economics/Business or any relevant field
  • Minimum 3 years in financial/adminstration
  • Experience in logistic is an asset
  • Experience working with INGO and knowledge of foreign donor’s budget will be an asset
Profile Required:
  • Strong interpersonal skills and ability to work well within a team;
  • Proven oral and written communication skills;(in English)
  • Organized, creative, motivated
  • Good in computer and communication skills, fluency in MS Outlook is desired
  • Proactivity and autonomy
  • Problem solving
Miscellaneous:
  • Local recruitment – there is no support for mobility for non-resident applicants out of Kupang
Initial contract will be for maximum 1 year with a possibility for renewal
