Background
Global Water Partnership Southeast Asia (GWP SEA) is a global network organization based in Jakarta, Indonesia, with its headquarter in Stockholm Sweden. Our Mandate is to facilitate the adoption and implementation of integrated water resources management through multistakeholders platform (MSP). GWP SEA is one of the 13 global network regions, which cover 8 (eight) member countries (Cambodia, Indonesia, Lao, Malaysia, Myanmar, Philippines, Thailand and Viet Nam) known as Country Water Partnership (CWP).

For the past 10 years, GWP SEA together with CWPs has been facilitating the adoption and implementation of IWRM through its. For the coming years, GWP SEA intends to revitalize its MSPs in every country and at regional level to have a more strategic role in addressing new and emerging global and regional challenges, especially on the 2030 agenda and the implementation of Paris Agreement. Accordingly, to accommodate the intense coordination between GWP SEA secretariat and CWP secretariats, GWP SEA is seeking a professional candidate to fill in the Administration and Logistic Officer (ALO).

Under the supervision of Regional Coordinator (RC) and the Finance Officer of Host Institution (PT. BWK), ALO will be responsible for managing all administration and logistic affairs of GWP SEA secretariat. As part of this role’s position, ALO will oversee the coordination of financial reporting between GWP SEA and CWPs, regularly monitor and evaluate the financial reports from CWPs, and actively engage CWPs in improving CWPs capacity in establishing financial management system. This will be a full-time one-year contract, with possibility of extension.

Duties/Responsibilities

General Administration & Logistics

  • Assist Regional Coordinator in coordination and organization of Global Water Partnership activities in the region including visa, travel and accommodation arrangements for staff, experts, partners and seminars’ participants;
  • Assist Regional Coordinator in coordinating the recruitment of staff, consultants and interns, including circulating vacancy announcements, preliminary sorting of resumes and arranging interviews;
  • Update and maintain contact and other network databases; and
  • Perform filling and general administrative tasks.  
Office Management

  • Carry out office operations such as maintenance, mailing, shopping, supplies, equipment and errands;
  • Manage the reception of visitors and perform secretarial functions. Handle incoming telephones, faxes and organize the use of post and courier services;
  • Manage relationships with service providers;
  • Act as focal point for all IT related issues, which includes liaising with IT support;
  • Ensure the proper up-keep, maintenance and professional appearance of the office premises.
Support in Finance & Accounting
  • Prepare financial report quarterly;
  • Assist in preparing accounting and audit documents;
  • Administer all office payments/bills and administer the petty cash;
  • Assist the Finance Officer with payment of any secretariat and CWPs payment and transactions
  • Prepare funding, payment requests to any GWP SEA secretariat as well as CWPs’ activities to Finance Officer 
Qualification


  • A qualification in bachelor of administration, finance or a related field or commensurate relevant practical experience;
  • Advanced knowledge of MS-Office; knowledge of accounting software is an asset;
  • At least three years’ experience in administration, logistics or a related area of work;
  • Experience with NGOs is an advantage.
  • Fluency in English (written and spoken) is obligatory;
  • Strong organizational, planning and time-management skills;
  • Good team player with excellent interpersonal and communication skills.
  • Attention to detail and accuracy;
  • Capacity to work under pressure and to adapt to changing priorities and needs; 
Compensation
We offer a competitive salary package (Euro 300/month, social benefit included)

Employment Start Date
Second week of September 2018

Contract Duration
1 (one) year, with 3 (three) probation months.
