II. Job PurposeUnder the guidance and direct supervision of the Head of Secretariat, the Administrative Assistant provides regular Minutes of Meeting, assist the presentation highlight, Filling and human resources services ensuring accuracy, effectiveness, and high quality of work. The Administrative Assistant promotes a client, quality and results- oriented approach in the Partnership.
The Administrative Assistant will work in close collaboration with all staff in relation to those functions for effective and good quality services delivery.
III. Principal Accountabilities
- Ensures full support to generate the Minutes of Meeting regularly focusing on the following results:
- Full compliance of meeting activities with the Partnerships policies and standard operating procedures; implementation of the effective internal control, proper functioning of a client-oriented support services.
- General support activity in filling at the JIC Secretariat office
- Complete and systematic documentations for all support activities ensuring effective office operation, in line with the Partnership SOP
- Full support of office operational activities and provide all office supplies
- Effectively administers Office Administration focusing on achievement of the following results:
- Assisting the Head of Secretariat and other staff in the project’s Administration matters
- Organized daily office operation including provision of the office supplies which comply with the Partnership SOP
IV. Deliverables
- Intensive involvement in all meetings/activities
- Minutes of Meeting Report on all meetings/activities
- Closely and solid work with all team member
- Hard and smart work to achieve the results

IV. QualificationsEducation: Minimum of D3 in Secretary, Administration or other relevant subject.
Experience:
Experience:
- Minimum of 1 year of progressively responsible administrative
- Secretary experience is required at the NGO National or International level
- Experience work in preparing the minutes and report
- Experience in the usage of computers and office software packages (MS Word, Excel, Power point, etc).
Language Requirements: Fluency in English and Bahasa Indonesia both in oral and written.
