Background

The World Food Programme (WFP) is the United Nations' frontline agency in the fight against hunger. The World Food Programme in Indonesia supports the Government's commitment to achieve food and nutrition security for all. In particular, WFP will support the GOI to strengthen their national strategies, plans and social safety net programmes by improving nutrition profile through the 1,000 days approach, reduce child undernutrition (stunting in particular), strengthen local food based school meal program and HIV program both at the policy and programmatic-operational level.

The Admin Assistant would be responsible as a support staff at Country Office (Jakarta) for WFP Nutrition national program including in NTT and Papua

Main responsibilities
Under the supervision of the Head of Nutrition unit, the Admin assistant will be responsible for the following duties:
  • Monitor status of expenditures and allotments through WFP corporate systems, record variations, update budget tables and consolidate data 
  • Review status of relevant expenditures and compare with approved budget; Assist in preparation of budget performance submissions
  • Review supporting documentations, verify claims for actions and conformance with administrative rules and regulations and liaise with other unit (finance, procurement, etc) as appropriate
  • Assist with day-to-day administration of contracts with external contractors; check contractors' invoices against the goods and services provided and process payments
  • Assist the Nutrition Unit in planning and arranging meetings, workshops and other capacity development related activities, particularly in financial and administrative arrangements;
  • Provide secretarial support to the Unit when required, including drafting correspondence, producing workshop minutes, summary of outcomes, and translation of materials in Bahasa Indonesia-English / English-Bahasa Indonesia;
  • Support graphical work to update communication materials, charts and tables utilizing graphic tools software
  • Performs any other relevant duties as may be assigned by supervisor(s).
Qualifications:

Education: Diploma/University graduate

Experience: Minimum 3 years relevant work experience in general administrative work; strong preference for experience in the UN system. Experience using SAP system and graphic tool software are preferred.

Knowledge and Skills:
  • Proficient with Microsoft Office applications, particularly Excel, Word, PowerPoint
  • Have experience to operate SAP program and using graphic tools software (e.g. adobe acrobat)
  • Good communication skills and ability to work on multiple activities simultaneously sometimes with short deadlines
Language: Fluency in oral and written Bahasa Indonesia and English, attachment of proficiency test (TOEFL, IELT) is an advantage
