Greenpeace campaigns have been vital in informing government policies on the environment and effecting changes in business practices which lead to various environmental problems.

Greenpeace in Southeast Asia

Greenpeace opened our first office in Southeast Asia in 2000. In that time we have led successful campaigns throughout the region, securing fresher air, cleaner water and a healthier environment through changing industry practices and government policies. Greenpeace actively campaigns across the region to catalyze an energy revolution, protect ancient forests and our oceans, create a toxics-free future and create a shift to sustainable agriculture.

Greenpeace has three offices in Southeast Asia—in Thailand, Indonesia and the Philippines and each office is composed of five departments: Campaigns, Fundraising, Communications, Mass Mobilization and Organizational Support.  Currently, Greenpeace has more than a 140 staff across the region, excluding the direct dialogue fundraisers.


Key Duties Office Management Officer

1.  To take leading role in managing and providing excellent office services and facilities to  Greenpeace staff to support GPSEA smooth operation which includes the following, but not limited to :                                                                                                                                 
·         Incoming and outgoing communications coordination (phone calls, mails, couriers, bills).                                                                                    
·         Office equipment maintenance, include requisition and purchases.                                                                                                                     
·         Office supplies and stationeries, include requisition and purchases.                                                                                                                            
·         Maintain and manage office utilities, reception area, office space, working area, meeting rooms and other office facilities.
·         Other as required in providing excellent office facilities.

2.  Responsible in all travel and accommodation arrangements as required by GPSEA staff and overseas guests who travels into Indonesia, in consideration of the cost and the  existing policies. This includes provision of travel insurance for GP staff and volunteer  when they have campaign activity.

3.  To provide and coordinate for all training, meeting, VC and conference room of      Indonesia Office.   

4.   To assist in Central Procurement function, as required by Line Manager.

5.     Manage office operations budget to be in line with approved ODP and manage office Petty Cash.     

6.   Assist in the implementation/enforcement of Office policies, procedures, programs,including Green office Policy, Security Policy, CO2 Reduction Program.      

7.   Responsible to report CO2 emitted by Indonesia office and to comply to report                 requirements.                                                                                

8.  Assist in designing and implementation of Office security (including office security training, fire training and other security protocols.   
                    
9.  Other duties as directed by the line manager.

WORKING HOURS
Normal hours of work for full time Employee will be forty (40) per week or (5) days in a week, at 8 hours per day excluding an hour lunch break. This will be from Monday to Friday, between the hours of 9:00 am to 6: 00 pm. Ordinary hours of work may be varied as agreed between staff and the line managers.

LEAVE
A permanent employee will be entitled to the following leaves:
Annual Leave: 20 days
Parental Leave:  As per labor laws and Greenpeace policy
Long service leave: 2 months paid leave after 5 years of continuous service
Compassionate leave: maximum of 5 days for the death of significant others


SALARY
In determining salary offer for this position, Greenpeace applies its Salary Grading Process, taking into consideration the job description and applicant’s previous experience, and the organization’s salary grade.
