Tanoto Foundation Job Vacancy: Scholars Engagement Officer and Special Initiative, Jakarta

The Foundation currently runs a number of philanthropic programs in Indonesia ranging from scholarship, teachers training, school improvement programs, research support, too small business development.

Tanoto Foundation is currently looking for some positions: Scholars Engagement Officer and Special Initiative (Jakarta based)

Job Summary Scholars and Alumnae Engagement Officer will be mandated to manage scholars and alumnae of Tanoto’s Scholarship Program. As of November 2014, Tanoto Foundation has provided 2900 scholarships to undergraduate and postgraduates students since 2006. In addition to that Tanoto Foundation also assists RGE’s Business Group’s scholarship program that to date has reached 2500 students who are the children of RGE staff.

The Tanoto Scholarship is Tanoto’s annual scholarship program that provides opportunities for college students, particularly the ones who face economic constraints, to access quality education. The Tanoto Scholarship is aimed to result in future leaders that have strong characteristics and own proficient and tough behavior. The scholarship program is partnered with 28 universities in Indonesia, including the top five state universities (ITB, UI, UGM, IPB and UNHAS) and three state universities located in RGE’s operational area (Universitas Sumatra Utara, Universitas Riau, and Universitas Jambi).

Main responsibilities of Scholars and Alumnae Engagement Officer is:
  • To facilitate capacity building program of the scholars (the Tanoto Scholarship Association or TSA) to enable them to be Tanoto Foundation Ambassador
  • To maintain engagement of alumnae with Tanoto Foundation so that they stay to be Tanoto Foundation Ambassador
  • To create added value for the Tanoto scholarship recipients either the ones that are still in college or already graduated.
  • Tanoto Foundation is not solely capturing the financial obstacles of potential students, but also commits to contribute in the development leaders for Indonesia in the future. Accordingly, nonfinancial support shall be consistently integrated into the scholarship program over the years. Accordingly, the Scholars and Alumnae Engagement Officer shall track and evaluate the contribution of the Tanoto Foundation to national education.
  • In addition to maintain a relationship with the graduates, the Alumnae Engagement Officer will also be expected to act as liaison officer to RGE’s Business Unit and Tanoto’s university partners.
  • She/he will be supervised by Head of Scholarship Unit for Scholars and Alumnae related responsibilities and Head of Tanoto Foundation for Special Initiative implementation.
Responsibilities:
Program Management and Implementation
  • Manage capacity building program for all scholars of Tanoto Foundation (bonding and nonbonding scholarship)
    • Soft Skill Training (leadership, communication, and problem-solving)
    • Project Management Training
    • Tanoto Scholars Association Strengthening and Mentoring
    • Scholars Counselling
  • Manage sponsorship program for Tanoto Scholar Association and University/College Partners
  • Maintain and update database of the alumnae of all scholarship managed by Tanoto Foundation (in cooperation with Tanoto Scholar Association and Scholarship Officers)
  • Initiate the establishment of Alumnae Association, support the governance of Alumnae Association and maintain relationship with Tanoto Scholars Alumnae to stay as Tanoto Foundation Ambassadors
  • Design and organize alumnae engagement project such as, but not limited,
    • Collaborative Program between Scholars and Alumnae
    • Alumnae involvement to add value in capacity building program to the scholars such as Tanoto Scholar Gathering
    • Social Activities such as Fund Raising, Scholarship Promotion, National Education Day, National Teacher Day, and CSR Promotion
    • Coaching Program by Alumnae to College Students
    • Alumnae Forum for Information Sharing (such as Internship Opportunity, Job Opportunity, Thesis Development, or Career Development)
    • Education Activities such as Book Publication, Book Review, Seminar and Meetings
  • Coordinate and cooperate with team members of Scholarship and other units within the Tanoto Foundation to maximize the quality and quantity outreach of Tanoto Program.
  • Liaise with universities/colleges and other relevant stakeholders to advance the partnership with Tanoto Foundation or to leverage the scholars and alumnae program activities
  • Maintain human interest stories on the achievement or lesson learned from Scholars and Alumnae, including work with Scholarship Officer(s) and coordinate with Corporate Communication Unit for visibility purpose.
Evaluation and Quality Assurance
  • Gather feedback from the scholars and graduates on challenges faced by them in exercising the Tanoto scholarship and recommend improvement options on the respective scholarship program
  • Identify, document and disseminate the achievement of the scholars and graduates of Tanoto scholarship recipients to leverage the recognition of Tanoto scholarship contribution to quality education access.
Documentation and Asset Management
  • Provide input on the reporting of the Scholarship Program, including, but not limited to:
    • Develop Technical and Narrative reports of scholars and alumnae engagement program activity, in a systematic filing and documentation system.
    • Exercise Financial Reporting, in a systematic filing and documentation system.
    • Proceed Agreement and other legal documents, with partners, if any
    • Any other documents as required to be filled and documented.
  • In coordination with FATLC, and Scholarship Program Manager, actively record and update assets possession related to alumnae engagement activities.
Special Initiative Implementation
  • Support Head of Tanoto Foundation to execute a series of Special Initiative programs, that include, among others:
    • Special Scholarship
    • Tanoto Initiative at Wharton School
    • Infrastructure Support for Universities
    • Relationship Management
    • Pilot New Project
    • Ad Hoc Project
  • Produce proposal and relevant documentation related to the implementation of Special Initiative programs, including performing the necessary presentation to the relevant stakeholders, if necessary
  • Responsible to technically organize and manage the implementation of the Special Initiative Program
  • Produce report, including program review and budgeting, on Special Initiative Program for monitoring and evaluation purpose
  • Liaise with external stakeholders and coordinate with RGE Business to ensure alignment of the Special Initiative Program with the mission of social capital investment.
Others
  • Perform other relevant duties as reasonably assigned by the immediate supervisor or Management of the Tanoto Foundation.
Duty Station and working condition:
Scholars and Alumnae Engagement Program Officer will be based in Tanoto Foundation Jakarta Office, with frequent travel to the field as required (Jakarta 70%, Travel 30%).

QUALIFICATIONS
  • A minimum of Bachelor Degree from a reputable university, preferable majoring in education and social science, a Postgraduate would be advantageous.
  • A minimum of 5 years experience in implementing scholarship projects, experience in selection, counseling, administration and networking with scholarship recipients would be advantageous.
  • Previous experience in liaising with various stakeholders and counterparts, monitoring and evaluation would be advantageous.
  • Demonstrated ability to achieve results, including team building and working with limited supervision
  • Strong communication skills, ability to communicate in English (both oral and written) is good.
  • Able to do multi-tasking, working in high pressure to meet results, working with minimum supervision and multi-cultural environment.
  • Able to use computers and MS Windows Applications (MS Word, MS Excel, MS PowerPoint)
  • Willing to travel to project sites as required.
