International Catholic Migration Commission (ICMC) Vacancy: Administrative Assistant, Jakarta

ICMC is an international nonprofit organization that serve and protect the needs of uprooted people, refugees, internally displaced persons and migrants regardless of faith, race, ethnicity or nationality. We advocate for right-based policies and durable solutions through a worldwide network of member organization. In Indonesia, ICMC currently works in 5 provinces and to help project implementation in Indonesia, we are seeking to fill the following position:

ADMINISTRATIVE ASSISTANT 

The position is Jakarta based and full time
Fixed Term Contract until June 2015
Anticipated start: IMMEDIATEL

Scope of work:
  • Keep the reception area in a neat and presentable condition 
  • Greet visitor and direct them to staff 
  • Take incoming calls and forward them to specific extension 
  • Record outgoing letters/packages and coordinate with courier service provider  
  • Record and file incoming letters, mails, invitations, invoices and faxes and distribute them as necessary 
  • Responsible to collect time sheet form staff and summarize it 
  • Assist in preparing logistics for meetings, events, trainings, etc 
  • Assist in travel arrangements for staff, prepare required travel requisitions 
  • Update office calendar and schedule of appointments and meetings 
  • Responsible for office maintenance and office billing payments 
  • Responsible of filling the administration documents 
  • Responsible to update Inventory List 
  • Other duties as points out by Program Manager
Requirements:
  • A minimum of 1 year experience with administrative functions 
  • A diploma degree in secretarial support/business administration/finance 
  • Fluency in English is an advantage 
  • Excellent interpersonal and organizational skills
