The Zoological Society of London Vacancy: National Conservation Projects Coordinator - Bogor

The Zoological Society of London is an international wildlife conservation organization with a focus on science-based and pragmatic solutions. ZSL has been active in Indonesia for about 10 years, with a particular focus on the overlap between industrial development and biodiversity conservation. ZSL’s Indonesia is based in Bogor, West Java, with existing field projects in Jambi and South Sumatera. We are now looking for:

Work Area: Bogor with travel to monitor projects in the field and elsewhere as required

Hours of Work: Monday to Friday from 09.00 am up to 05.00 pm

Reporting to: Country Managers

Key Internal Relationships:Projects Coordinator, Conservation Programme team in London

Main responsibilities
A. Project management
  1. Assist with the compilation of monthly and annual ZSL reports, and support to Project Managers in compilation of technical reports to donors and any special reports to satisfy ZSL or donor requirements. 
  2. Oversight of all ZSL Indonesia projects including monitoring project budgets and personnel management, making sure all projects are conforming to internal ZSL standards and donor requirements. Regular liaison with and reporting to Country Manager/s in respect of all project management issues.
  3. Monitoring of projects’ staff performance against key performance indicators (KPIs). Regular liaison with and reporting to Country Manager/s and in-country HR Manager in respect of all project staffing/performance issues.
  4. Assist the Country Manager/s and in-country HR Manager with projects’ staff recruitment; including the placing of job advertisements, organising interviews, and induction of new staff.
  5. Work with the Country Manager/s and Project Managers, to ensure project strategies and work plans are being maintained.
  6. Assist the Country Manager/s and Project Managers in tracking, planning, preparation and drafting new grant proposals. Maintain an ‘upcoming projects’ tracking spreadsheet.
  7. Visit all ZSL Indonesia project sites on a periodic basis to assess and assist with updating Standard Operating Procedures (SOPs), in English and Bahasa and to help carry out fieldwork (if required).
  8. Provide coordination and technical support to all projects.
B. Logistics
  1. Assist in the organisation of project-related meetings and workshops, preparation of materials, and compiling minutes/meeting reports. 
  2. Supporting Project Managers to ensure the ZSL Health and Safety policy and Risk Assessments are up-to-date and being implemented across all ZSL projects.
  3. Supporting and closely liaising with the ZSL HR/Administration team with travel and logistical arrangements for projects’ staff and ensuring that they are following ZSL procedures.
  4. Assist with the sourcing, procuring, cataloguing, and tracking of equipment and materials to support projects.
C. Communications
  1. Liaising with project field staff and partner organisation/s; including some field site visits. 
  2. Regular updating of Country Manager/s and key ZSL staff regarding progress of the projects and other relevant issues, as appropriate.
  3. Assist with the preparation and distribution of promotional and educational material for ZSL publications, newsletters, brochures, posters, project information sheets, and web pages.
  4. Lead on updating of project information in the ZSL Projects Database (ZPD).
  5. Coordinate and follow-up with projects’ staff in seeking out and developing new relationships as required for programme development in Indonesia (feeding into an ‘upcoming projects’ tracking spreadsheet as mentioned above).
  6. Represent ZSL at meetings and conference when required.
  7. Provide oversight with the management of the in-country data and document storage system, including liaising with project staff to maintain a library of photos and videos.
D. Finance administration and Fundraising
  1. Assist the in-country Finance Manager/Team and Project Managers with compilation and monitoring of project expenditure and budgets, ensuring appropriately thorough and transparent financial reporting and justification of expenditure against ZSL standard procedures (and donor criteria as required). Assist with resolution of any financial anomalies and problems. 
  2. Regular liaison with and reporting back to Country Manager/s in respect of all project finance issues as per the above.
  3. Supporting fundraising activities by assisting with the sourcing of potential donors and contributing to funding applications.
E. General
  1. Supporting fundraising activities by assisting with the sourcing of potential donors and potential other fund raising activities. 
  2. Ensuring all project activities and procedures follow ZSL policies, particularly with regard to health and safety, finance, human resources and communications. Dissemination of ZSL policies to project staff as and when necessary.
  3. Any other activities that are agreed with the Country Managers.
Qualification and skillsA. Essential skills required for this position include
  1. University degree in related discipline (or sufficient levels of relevant experience). 
  2. Highly motivated.
  3. Proven fieldwork/survey experience vital – willingness to spend time in the field.
  4. A high level of physical fitness.
  5. Excellent IT skills; especially working knowledge of Microsoft Word and Excel.
  6. Fluency in English (understanding, speaking, writing).
  7. Excellent report writing skills (English and Bahasa).
  8. A thorough working knowledge of project administration and operations, ideally in the context of conservation projects/programmes.
  9. Proven ability to think analytically and strategically, particularly in respect of project cycle management and programme strategic development
  10. Experience of working with project budgets and financial management.
  11. Able to work in and manage a team, as well as being self-motivated and able to work under own initiative.
  12. Experience of successful fundraising and proposal writing (for new grants).
  13. Strong communication skills
B. Highly desirable skills include
  1. Interest/experience in the conservation sector in Indonesia. 
  2. Previous work for an international NGO.
  3. Previous work (directly or indirectly) with Government of Indonesia Institutions.
  4. Familiarity with GPS data collection methods.
  5. GIS analytical and presentation (e.g. spatial mapping) skills.
