Family Health International (FHI 360) Vacancy: Senior Administration & Grants Officer/Team Leader, Jakarta

We currently seek qualified candidate for the position of Senior Administration & Grants Officer/Team Leader in the Indonesia Country Office based in Jakarta.

BASIC FUNCTIONS:  S/he will provide assistance with the development and processing of subcontracts as well as with the development of any agreements required to implement the overall FHI 360 funded programs; provide general administrative/logistic support and leadership to the overall administrative and program assistant; and supervise a team of admin support staff and provide direction to them

Duties and key responsibilities will include but not limited to:
  1. Prepare RFAs for services to be procured via sub-contracts with local firms to support SUM I Program Condom Promotion and Social Marketing (CSM) efforts.
  2. Develop sub-contract/sub-grant for the local firms chosen via competitive procurement:
    1. Prepare  sub-contract/sub-grant drafts, including budget with all required supporting documents, for review and approval by FHI 360 Indonesia senior management staff;
    2. Submit sub-contracts/sub-grant to FHI 360 Asia Pacific Regional Office (APRO) Contracts & Grants for review and provide clarification as needed;
    3. Submit sub-contract/sub-grant approval requests to Country Director for submission donor for approval and provide clarification;
    4. Take relevant actions to activate newly approved sub-contract/sub-grant in the FHI 360 Global Awards Tracking System.
  3. In coordination with the Team/Unit Leaders and Program/Technical Officers, prepare scope of work (SOW) for short-term consultants needed to support the program. Work with the Country Director, CSM and Technical Advisor, and senior staff to identify consultants as appropriate.
  4. Develop Consultancy Agreements for the identified individuals and prepare all the supporting documents required for further processing.
  5. Oversee acquisition of materials needed to support the program efforts and arrange for their inclusion in relevant project data bases and knowledge management system.
  6. Provide leadership, direct and supervise the country office administrative and program assistant team.
  7. Work closely with the Country Director, CSM/Technical Advisor, Finance Manager and Senior Management staff to provide support to manage administrative issues of the program.
Minimum Requirements: Bachelor or Master degree in Marketing, Economics, Business Administration, Public Relations or related field from a recognized university or college.  3-5 years’ of experience managing grants and other contractual arrangements and relevant works experience.  Must have excellent communication skills, including fluency in written and spoken English, and computer skills in excel and word. Able to work independently and as a team. Previous experience with I/NGOs and familiarity with USAID and other international/local donors grants administration will be an advantage and an asset. Previous experience in handling office procurements and logistics will be a plus.
