The Center for International Forestry Research (CIFOR) is a nonprofit, global research organization dedicated to
advancing human well-being, environmental conservation and equity.
We conduct research that enables more
informed and equitable decision making about the use and management of tropical
and sub-tropical forest landscapes. We help policy makers and practitioners
shape effective policy, improve the management of tropical forests and address
the needs and perspectives of people who depend on forests for their
livelihoods. Our multidisciplinary approach considers the underlying drivers of
deforestation and degradation which often lie outside the forestry sector:
forces such as agriculture, infrastructure development, trade and investment
policies and law enforcement.
CIFOR is looking for Secretary
Overview
Under the supervision of the project manager, the
Secretary will provide general secretarial and administrative support to the
Environment Research team.
Summary of responsibilities
- Coordinate the Project Manager’s and/or related ENV team’s schedules and agenda.
- Provide administrative support such as doing correspondence (including translation), taking and writing up minutes of meetings, report writing, preparing presentation materials and other written and illustrative materials as required.
- Assist in the completion of requisition and Travel Authority forms; arrangement of travels and accommodations etc.
- Assist in the planning and coordination of meetings, workshops, seminars, visits or other events in or outside CIFOR; responsible for event logistical matters such as accommodation, transportation (both air and ground), distributing invitation letters, liaising with relevant departments in the visa/permit process and other logistical matters as necessary. These activities are done in coordination with the Events Coordinator, the Finance & Administration office and the HR office and other relevant staff or offices.
- Manage and maintain the filing system, database and web-based applications or repositories.
- Support in the development of contracts for partners and collaborators, and liaise with the relevant offices in the finalization of the contracts.
- Maintain and monitor supplies of forms and other office requirements.
- Perform other tasks as may be required to support the smooth functioning of the office, support and work with colleagues within the office and with other CIFOR staff.

the staff’s annual performance contract.
Requirements
Education,
knowledge and experience
- Diploma in related field
- 5 years experiences in administrative works
- Familiar with Microsoft Office and web-based system.

- Management and organizational skills, experience in project management.
- Competent in personal organization and priority setting, with the ability to work effectively under time pressure and manage multiple priorities.
- Have initiative and capable of working independently as well as an effective team player.
- Good interpersonal and communication skills, with the ability to effectively interact with people in a multi-disciplinary and multi-cultural environment.
- Values the sharing of information and continuous improvement in a cooperative atmosphere of constructive evaluation and learning.
- Experience working with a wide and diverse network of groups and individuals.
Terms and Conditions
- This is a Consultancy position. CIFOR offers competitive remuneration commensurate with skills and experience.
- The appointment is for one year with a possibility of extension contingent upon performance, continued relevance of the position and available resources.
- The duty station will be at CIFOR HQ in Bogor, Indonesia
