We are currently seeking to recruit an Administration-Finance Assistant to help implement a CIDA-funded project, Better
Approaches to Service Provision through Increased Capacities in Sulawesi
(BASICS). The project purpose is to link planning and budgeting
processes in a participatory, pro-poor, gender equal and environmentally
sustainable manner leading to improved MDGs/MSS-based social services provision
in selected districts/cities in Sulawesi.
Duty station will be in Jakarta.

Responsibilities
of the Admin-Finance Assistant
The Admin-Finance Assistant will report directly
to the Information Management Officer on a daily basis but will remain under
the overall supervision of the Project Director for strategic undertakings. Her/his daily work will require that s/he
work closely with the Project Director, the BASICS Government Relations &
Capacity Development Advisor and the Information Management Officer.
Key responsibilities and duties are
summarized below.
Administration:
- Provide administrative and logistical support for national-level workshops, meeting and events organized by the project.
- Provide assistance to facilitate the processing of various documents and approvals which must be sought in Jakarta including, but not limited to, Surat Rekomendasi, Surat Penugasan, work permits, SKLD, KITAS visa and procurement-related documents.
- Responsible for maintenance of office equipment such as printers, notebooks, fax, telephones, etc.
- Maintain an accurate and up to date inventory of all BASICS Jakarta’s property and transmit monthly inventory list to Administration/Logistic Manager.
- Maintain contact database with current and accurate information on vendors and partners.
- Help ensure timely distribution of reports, documents, knowledge products and letters to Jakarta-based stakeholders.
- Management of stationery and pantry items.
- Conduct general administrative functions as requested in support of the maintenance of an updated and easily accessible paper and electronic filing system.
- As required, assistance in preparing documents related to BAST reports.
Finance:
- Process travel and general procurement related invoices.
- Preparation of travel claims, advances, etc.
- Preparing daily/monthly accounts for expenditures including petty cash daily/monthly journals; preparing cash/bank reconciliations; monitoring bank accounts and ensuring that advance request are made accurately and on a timely basis.
- Handling of financial logistics at Jakarta-based events and reconciliation of the same.
Desired Key Qualifications
- Organizational and logistical skills
- Proficiency with computer software
- Excellent writing and oral communication skills, inter-personal skills and good disposition for team work,
- Education related to accounting and financial management;
- Experience in preparing daily/monthly accounts for expenditures, including petty cash daily/monthly journals;
