SNV Indonesia Vacancy: Logistic Assistant & Receptionist, Jakarta

To support its operation, SNV is now seeking a highly qualified national candidate to fill in the position of Logistics Assistant/Receptionist to be based in our Jakarta Office.
 
Detailed responsibilities are below:
  1. Logistics and Travel
    1. Responsible for the procurement of goods and services as per approved purchase request
    2. Prepare tender process and selection of vendors (if applicable) for routine purchase of goods and services such hotels, travel agents, stationary etc.
    3. Assist in preparation of meetings and workshops
    4. Assist in processing travel and work visas for national and international staff
    5. Maintain an adequate inventory of office supplies, office sundries and monitor the use of supplies and equipment to ensure necessary office stationary and supplies are available and functionning for normal use
    6. Keep records of office inventory and furniture
    7. Manage travel arrangements for all staff and maintain an up-dated travel record
    8. Manage the use of SNV vehicles
  2. Administration
    1. Maintain the general filing system and file all correspondence in accordance with SNV Indonesia project management guidelines
    2. Arrange document translation and interpreters as required
    3. Manage petty cash fund and petty cash register
    4. Provide secretarial and administrative support to the Country Director Indonesia
  3. Perform receptionist function
    1. Handle incoming and outgoing communication (telephone, fax, courier, documents)
    2. Greet, assist and/or receive all direct visitors
  4. Supervise support staff (Office Assistant, Driver, Courier)
     
    Candidate profile
  • 3 to 5 years of relevant experience in Administration and Logistics function or similar
  • Strong interpersonal skills
  • Ability to maintain good relationships with vendors/suppliers
  • Good negotiation and coordination skills.
  • Self-motivated and organized
  • Ability to work independently and with the team
  • Willingness to work a flexible schedule
  • Initiative and creative in solving problems
  • Good command of spoken and written English, fluent in Bahasa Indonesia
Duty station: Jakarta
 
Contract duration: 1 year consultancy contract with the possibility of extension.
 
Desired start date: As soon as possible.
