Receptionist
I. Overview
Chemonics International was founded in 1975 and is one of the largest U.S.
consulting firms providing expertise in developing and emerging-market
countries for initiatives financed by the U.S. Agency for International Development (USAID).

III. General
Responsibilities
The Receptionist will at all times adhere to and act according to the
Chemonics Professional Code of Ethics (“Living Our Values”) and will make the
principles of the Code a part of the project’s culture and standard operating
procedures. Under the Office Manager’s direction the Receptionist also should be ready to undertake other project duties as
required by the COP and DCOP, if needed.
IV. Specific Duties
·
Greet guests and ensure a positive initial impression
of the project; answer and direct phone calls as necessary.

Manage office correspondences, including letter
drafting, memo, etc
·
Provide simple documents translation from Indonesian to English
as needed.
·
Arrange
appointments,
including transportation booking and checking driver logs.
·
Assist
in pouch and documents deliveries.
·
Arrange
interview schedule.
·
Maintain and update
the administrative general filing system
·
Prepare
official expense documents, ensuring proper submission and payment.
·
Make
travel arrangements and hotel reservations as requested in the absence of
Administrative Assistant.
·
Maintain, review and update the staff outpatient reimbursement.
·
Monitor and manage the monthly office mobile phone
usages and payment as needed
·
Serve as note taker for general meetings
as requested.
·
Support overall office operations
and activities as requested.
V. Qualifications
·
Minimum
diploma
·
At
least 3 years administrative experience required, preferably with large-scale
international projects.
·
Well-versed in office administration duties including faxing,
photocopying, answering phones, arranging meetings.
·
Demonstrated experience working in a diverse, face-paced office environment.
·
Excellent
computer and typing skills including, Microsoft Word, Excel, Outlook exchange
email system, and desktop publishing software such as Adobe, Photoshop, and
other similar programs.
·
Fluency
in English and Bahasa Indonesian required.
·
Strong interpersonal and
communication skills are required.
VI. Reporting
The Receptionist
will report directly to the
Office Manager. S/he will prepare
regular oral and written progress reports that demonstrate the status of
project operations, as well as other reports as required. As teamwork is crucial to the
success of the project, the Receptionist will be expected to coordinate work
with other administrative project staff, as per direction from the Office
Manager.
