Australian Government funded HIV Cooperation Program for Indonesia

Position based in Jakarta

 
GRM International in collaboration with the Burnet Institute is the managing contractor for the HIV Cooperation Program for Indonesia (HCPI), the largest component of the Australia Indonesia Partnership for HIV.

HCPI is seeking applications from suitably qualified individuals for the position of Administrative Assistant based in Jakarta. With support and supervision from the Operations Manager, the Administrative Officer will conduct the following tasks:
  • Coordinate the process of new/renewals of Visa, KITAS, and Work Permit of Long Term International Advisors. 
  • Manage the process of Papua Security Clearance with the Indonesian authorities. 
  • Arrange customs clearance of consignments, including preparation of correspondence and follow up action with local authorities. 
  • Provide assistance in the overall staff recuitment process. 
  • Coordinate staff leave process and maintain updated leave records. 
  • Coordinate timesheets for all staff. 
  • Coordinate the staff Professional Development program. 
  • Coordinate health insurance of locally engaged staff. 
  • Coordinate petty cash. 
  • Prepare correspondence and reports as directed. 
  • Carry out other duties as directed by the HCPI Operations Manager, Team Leader or Deputy Team Leader.
Interested candidates for this position should have the following qualifications and experience:
  • S1 degree in relevant field
  • Demonstrated relevant administrative experience and skills
  • Excellent computer skills including MS Word; Excel; Powerpoint; and data base software
  • Excellent inter-personal communication skills
  • Demonstrated ability to work under pressure in a busy office environment and to function as a productive team member while also being able to work independently
  • Ability to communicate (written and spoken) in both Bahasa Indonesia and English
Preferred Criteria:
  • Experience working with a bilateral donor funded project
