RTI/ENVISION-NTD Project is seeking for highly
qualified candidates to fill the following Program
Assistant –Temporary, February 2014 – May 2014:
The Program
Assistant will be responsible for providing supports for the ENVISION regional
team and will be based in the ENVISION project office in Jakarta and report to
the Technical Adviser.
Duties and
Responsibilities:
·
Organize
files, correspondence, manuals, papers, etc. and to continue to update on a
regular basis.
·
Handle
phone, fax, mail and courier communications, and direct to correct staff;
·
Provide
a cordial and responsive written and verbal communication service to both
external and internal ENVISION Indonesia clients for program and administrative
matters.
·
Assist
with processing and maintenance of encumbrances (Fee for Service Contracts,
Lease Agreements, Rental Agreements, etc);
·
Provide
high quality document formatting and production assistance;
·
Coordinate
logistics planning and administration for travel, accommodation, and per diem
for in-country conferences, meetings, and study tours;
·
Support
in-country project meetings. This may include booking rooms, coordinating
schedules, issuing and tracking meeting invitations, preparing meeting agendas
and supporting materials, and preparing meeting notes;
·
Handles
routine requests for internal support for, e.g., IT, phone, and editing
services;
·
Assist
and coordinate with RTI Indonesia Office Manager and RTI Indonesia HR
Department in dealing with insurance claim and timesheet for all ENVISION staff
in Indonesia
·
Conducting
procurement tasks for all procuring equipment and services (hotel, airline
tickets, etc.) and coordinate with Project Accountant under the supervision of
Technical Adviser.

Assist
the Accountant with logistics and procurement-related activities; and
·
Other
general administrative duties as assigned.
Required Qualifications:
- Bachelor’s degree
and 2 years’ related experience or equivalent combination of education and
experience.
- Good command of written and spoken English and Indonesian.
- Ability
to prioritize issues and make recommendations to policy
- High
degree of professionalism and discretion; culturally astute.
- Ability
to work independently as well as perform in matrix organization.
- Attention
to detail, accuracy and organizational skills with ability to be flexible
and work well under pressure in a multi-tasking environment.
-Excellent
knowledge of MS Word, Outlook, PowerPoint, Excel and HR systems.
