Conservation International, an international non-governmental
organization, is seeking to fill the position of SLP OPERATIONS MANAGER
base in Jakarta.
This position will lead/supervise financial, HR and administrative support to the SLP (Sustainable Landscape Partnership) project, under direct supervision of the SLP COP, in close coordination with CI Indonesia Operations Director and relevant CI and CI Indonesia Staff. Maintain close relationships with SLP partners/sub-grantees/stakeholders to ensure efficient, effective, and accountable project management. Manage finance, HR and administrative functions of the SLP project as well as provide substantial operations support/guidance to SLP site offices. Serve on SLP Senior Management Team (SMT) and participate in CI Indonesia development initiatives as requested.
Responsibilities:
1. Financial/Budget Management
a. Establish and maintain procedures to ensure CI’s and donor’s requirements for budget planning, monitoring and reporting are met.
b. Develop the SLP budget and support all the modifications as required.
c. Coordinate with SLP Grants Manager in developing sub-grantee’s budget
d. Monitor and manage SLP cost centers to ensure that the expenses are aligned to the work plan.
e. Generate the project monthly cash request according to work plan.
f. Ensure that SLP expenses are allocated to the correct donor codes.
g. Provide oversight for the expenditure of funds, ensuring that funds are expended according to CI’s and donor’s requirements.
h. Ensure that SLP staff know about and are in compliance with financial management requirements.
i. Coordinate with CII National Finance Manager toprovide monthly budget versus expenditure information to the SLP COP.
j. Assist on providing management, narrative, pipeline analysis and statistical reports for donors if required.
k. Assist in preparing financial reports for forecasting, controlling, and results analysis as required.
l. Monitor, identify, and communicate over expenditures or under expenditure to the COP
m. Coordinate with SLP Grants Manager and CII National Finance Manager toprovide training and technical support to SLP operations staffs in financial management, internal controls, budgeting and grant management.
n. Supervise, support, and evaluate performance of Field Operations Coordinators
o. Comply to any other CII financial management requirements, as applicable.
2. HR Management
a. Perform as an HR point person for SLP project
b. Support the COP in assessing the staffing needed.
c. Coordinate with CII HR Manager and SLP Managers in the SLP recruitment process
d. Support in the development of SLP job descriptions
e. Support in the SLP recruitment process and participate in the interview process for the relevant positions.
f. Support the SLP staff in the staff development matters.
g. Comply to any other CII HR Management requirements, as applicable
3. Administrative Management.
a. Ensure all SLP staff have access to and are familiar with CI Policies and Procedures.
b. Train staff and monitor SLP procurement to ensure compliance with CI’s and donor’s procedures.
c. Ensure that equipment and supplies are correctly inventoried and that inventory records are up-to-date at all times.
d. Develop and maintain effective and efficient systems for the SLP site offices.
e. Support and monitor SLP team travel arrangement and travel plan
f. Develop and maintain SLP filing system and documentation as well as activity agenda.
Qualifications:
Required
Educations:
· Bachelor Degree in Finance/ Accounting
Experience & Skill:
· 4-6 years related work experience
· 3 years of experience in a similar role
· Grant management experience, including USAID grants
· Experiences in developing/training in systems and procedures
· Accounting/ financial management
· Communication/interpersonal skills including good English verbal and written ability
· Computer skills including Microsoft suite of programs and other relevant financial systems.
· Exceptional organizational skills.
Preferred
Experience in managing a USAID project
