CWS is an international relief,
development and refugee assistance agency that provides humanitarian assistance
to survivors of natural and human-made disasters, helps addressing food insecurity
and eradicates poverty, as well as supports sustainable development. CWS
assists the most vulnerable, regardless of their religion, race, ethnicity, or
gender. Founded in 1946 in United States of America, CWS has been working in
Indonesia for over 40 years under an MoU with the Ministry of Social Affairs.
CWS Indonesia is currently working in DKI Jakarta, North Sumatra, NTT, South
Sulawesi and Central Sulawesi Provinces.
Currently we are looking for a

Assistant
Accountant / Administration Officer, based in Palu, Central Sulawesi
Job
Summary: The Assistant Accountant / Administration Officer
will be responsible for financial management of CWS’ office and projects in
Central Sulawesi. She/He is also responsible for the administration and
logistics management in the office. The Assistant Accountant &
Administration Officer should also assist the Senior Accountant and Finance
Coordinator / Assistant Finance Coordinator with all reporting and communication
concerning financial-related matters, as well as the Deputy Country Director
and the Program Manager with all administrative and logistic matters. The
position also requires coordination/communication with local counterparts and
CWS Program staff, Logistic Staff and Administration staff. It also requires
administration and documentation skills. An ability to be flexible in working
with local counterparts and as part of a “team” is desirable. An understanding
of non-profit organization accounting system is desirable. The officer will
report to Finance Manager, Program Manager and Deputy Country Director.
Responsibilities
and Tasks:
1.
Financial Management of the Office
- Check all related documents carefully to ensure that only authorized and correct payments are made (receipt, purchase, contract/agreement, purchase order, etc. except employees contract)
- Handle all payments (cashier) with suppliers, vendors, travel advance of staff etc.
- Prepare monthly financial report.
2. Financial Management of Project
- Prepare and handle all the dispersing funds to all partners.
- Monitor reports from partners in terms of actual expenditures compared to project budgeted.
- Monitor and prepare cash flow.
- Monitor the completeness of procurement steps including forms, before doing any transaction / payment.
3. Clerical Job
- Answer telephone and relay message for office staff.
- Record and file official documents and mails.
- Greet and provide hospitality to office guests.
- Arrange for domestic and international travel of the staff and CWS guests;
- Maintain an updated phone tree of CWS Central Sulawesi.
4. Procurement
- Procure office and programs needs.
- Comply with CWS Indonesia procurement system and procedure when processing the procurement.
- Prepare contracts with third parties, if applicable.
- Arrange the procurement of office needs including office supplies and stationeries/writing/printing supplies.
5. Inventory & Assets
- Maintain the records of all assets and inventories of CWS Indonesia in Poso Office.
- Maintain stock cards of program materials, if applicable.
- Insure of CWS Assets including car, motorcycle, and office equipment.
- Ensure the validity of the insurance period.
6. Vehicle Management
- Arrange the use of cars to support the smooth operation of program activities, including the official needs of cars by finance and admin staff.
- Monitor the use of gasoline and ensure that cars are maintained and repaired appropriately and are in good conditions for travelling.
7. Office Building and Equipment Repair, Maintenance
and Service
- Arrange the repair and maintenance of the office building including all facilities provided by the office (such as: air conditioners, telephone, toilets, light bulbs, generator set, etc).
- Maintain good relationship with the Landlord and communicate any repair and maintenance of the building with the Landlord, as well as any payments such as Land and Building Tax.
- Maintain the office cleanliness and healthy environment and efficiency.
8. Other
- Maintain personnel administration, which includes but not limited to attendance records, leave records, medical records.
- Arrange tax payment, when needed.
- Prepare overtime calculation of support staff every end of the month.
- Do other task as requested by the Senior Accountant / Finance Coordinator, Deputy Country Director, and Program Manager.
Qualifications:
- Excellent command of Bahasa Indonesia
- Good interpersonal skill and a team player
- Excellent knowledge of Microsoft Office Program (Word & Excel)
- Discipline and high dedication
Requirements:
- Minimum Diploma in Economics, Managements or Accounting.
- Minimum 2 year experience in finance, procurement,
asset and inventory management, logistic and clerical work.
Experience working for non-profit organization is more preferable.- Fluency in English is more preferable.
- Willing to be based in the program location.
- Prioritized for applicants, who live in Central Sulawesi and surrounding areas.
