VACANCY: Admin & Logistic Assistant (code: ALA-SETARA), based in Cilincing-Jakarta Utara

Save the Children is an international non-profit organization that focuses on the fulfillment of children’s right. Save the Children was first established in May 1919 in the U.K. and to date has 28 Save the Children Offices and operations in more than 120 countries worldwide. 1n 1976, Save the Children signed an MoU with the Ministry of Social Affairs of the Republic of Indonesia, followed then by the operations of Save the Children throughout Indonesia. Currently, Save the Children work in 11 provinces with a variety of program areas, such as: Education, Health and Sanitation, Livelihood, Child Protection also Disaster Risk Reduction.

Save the Children is committed in conducting its programs in a way that is safe for children beneficiaries and to help protect children with whom Save the Children in a relationship. As a humanitarian organization, Save the Children is obliged to create and maintain an environment to prevent any sexual exploitation and sexual abuse of children as well as to promote the implementation of child safety policies.

Save the Children currently implementing AusAID NGO Cooperation (ANCP) – Strengthening Education through Awareness and Reading Achievement (SETARA)[1] Project. The ANCP – SETARA project will work with educators and communities to improve literacy outcomes for early year primary students in North Jakarta as well as will work with ECCE Centers in Belu, NTT; The SETARA Project comprised of four main components: ECCE in Belu, Literacy Boost, Health-Hygiene, and Emergency Preparedness in North Jakarta.  To address these important components to education quality in two distinct areas while leveraging other current and future Save the Children projects to maximize effectiveness and efficiency. The Literacy Boost result in the Cilincing sub-district of North Jakarta will address key gaps in primary education quality and community mobilization in support of education. The CSHSR (Comprehensive School Health and Safety Result) will address health and hygiene behaviour change and improve access to health services among students, and address emergency preparedness. These actions will lead to improved attendance and performance in school. The ECCE result in Belu, NTT will improve access to and quality of ECCE services in participating communities, which will lead to improved young learner preparedness for school.

Now we are looking for a position of :


ADMIN & LOGISTIC ASSISTANT – SETARA (code: ALA-SETARA), 1 position, based in Cilincing – North Jakarta

The Admin, Logistic, and Procurement Assistant for ANCP – SETARA Project will be responsibility for the logistical and procurement of North Jakarta Sub Office activities and providing support to the SETARA MANAGER. S/he will Ensure all procurement and logistic duties regarding save the children procurement rules, such to fulfil, checking and determining the procurement process from the programs requirement, getting offer and bidding document until received the materials needed.  Ensure the function and availability of office operational stuff in related to the equipment used and material needed of North Jakarta Sub Office.

Report to: Project Manager

Logistical Duties

·        Compile list of requesting materials and equipments needed from all programs; including Stationary, other office supplies and cargo delivery are made available on time

·        Provide Request for Quotation and Biddings Document

·        Ensure the completeness of the procured materials

·        Ensure a functioning asset Inventory System of the office

·        Maintain store ledger, record keeping of office supplies and stationary items up to date

·        Conduct a regular stock count

·        Provide report in regular basis regarding the stock of materials, documents of procurement process, Inventory to the Project Manager

·        Other logistics tasks as requested by Project Manager

  *  Provide transparent procurement processes.
  *  Daily recording of every materials and vehicle used
  *  Regularly update the Projects Manager regarding the condition of vehicle and buildings (physical and contractual status)

Administration Duties

·        Work closely with Senior Finance and Administration Officer as well as with Finance and Admin Assistant.

·        Develop a simple recording and reporting tools and logbook for material and vehicle used, in terms of monitoring and also supervise Driver.
·        Organize for regular maintenance of office equipment and other resources to ensure efficient functioning of offices

·        Support the Program Manager in day-to-day activities.

·        Ensure an efficient and healthy office environment for improve efficiency
·        Monitor the security situation and update the Project Manager regularly
·        Update the security guidelines in consultation with the Project Manager

  *  Arrange the payment process for communication, electricity, and any other bills for the office needs
  *  Other tasks as assigned by supervisor.

Emergency Response Management

·        Coordinate all related with logistical and procurement when responding any potential emergencies in North Jakarta and Belu, NTT


QUALIFICATIONS

Education and Skill

·        Education Degree in Administration and/or any relevant field
·        Fluent in English, verbal and written
·        Strong oral and written communication skills in both Bahasa Indonesia and English.

·        Ability to work in a fast-paced, pressured environment.
·        Respond to requests, queries in timely manner
·        Ability to simple problem solve, show initiative and work independently
·        Good information sharing/communication skills

  *  Detail oriented

Experience and Knowledge

·        Minimum of 3 years experience in a project with contractor, corporate, or NGO environment, including significant field implementation experience
·        Strong computer skills in Microsoft Office (Word and Excel), particularly effectively use in MS Excel

·        Store keeping and record keeping knowledge.

·        Commitment  to  and  understanding  of  Save  the  Children’s  aims,  values  and principles  including rights-based approaches
