Save the Children International VACANCY : support team SPONSORSHIP - 2 position, based in Sumba

We have over two million supporters worldwide and raised 1.6 billion dollars last year to reach more children than ever before through programs in health, nutrition, education, protection and child rights, also in times of humanitarian crises.  By mid-2013 most of our international programs will be delivered through a merged operation with 14,000 staff, managed through seven regional hubs and reporting to a relatively small, central office.

Save the Children is currently beginning a comprehensive, long-term education program for children in Sumba island, NTT over the next 5-10 years.  This will be funded by an individual sponsorship program from donors in Korea and the United States. Currently Save the Children has an immediate need for an experienced program staff member to support sponsorship program implementation in Sumba. This position will be based in Sumba island.

The position we are looking for are:

1. Finance Officer Sponsorship (code: FO-Sponsorship), 1 position, Sumba

Save the Children will implement a comprehensive education program in Sumba island, NTT over the next several years.  This will be funded by an individual sponsorship program.  The Finance Officer for Sponsorship will be in charge of financial management for this program to ensure inline with donor requirement and SCI standard.

JOB RESPONSIBILITIES
  • Undertake financial, accounting and control activities of Sponsorhip field office in order to ensure the activities can run effectively, efficiently and with appropriate confidentiality.
  • Perform dissemination of SCI finance policies, procedures and guidelines to all field staff to ensure all staff understand and are updated with any changes of policies and procedures
  • Support Senior Sponsorship Manager in performing budgeting preparation and monitoring activities to ensure the implementation of the budget is in line with SCI policies and guidelines.
  • Support Senior Sponsorship Manager in preparing required financial reports for all related parties both internal and external, in order to ensure the provision of accurate and timely financial information
  • Support internal audit activities and implement the auditor recommendation to ensure all financial and accounting activities are in line with the SCI policies and guidelines
  • Perform cash, bank and payment activities in order to ensure the activities can support the programme operations effectively, efficiently and properly.
  • Support payroll preparation in field office to be sent to country office.
  • Support Senior Sponsorship Manager in regularly monitoring budget vs actual expenditures.
QUALIFICATIONS
Education and Experience Background:
  • Bachelor degree in finance/accounting
  • Minimum of 3 years of experience in finance or related field with INGOs
  • Good understanding of development sector
Skills and Knowledge:
  • Good understanding of English
  • Good understanding in spreadsheet applications
  • Excellent understand of accounting / finance flows
  • Excellent knowledge of computer systems, software, networking and internet
  • Excellent interpersonal skills
  • Good analytical skills
  • Good sense of prioritization
  • Conscious about meeting deadlines
  • Ability to work independently without considerable day to day support

2. Admin & Logistic Assistant Sponsorship (code: A&LA-Sponsorship), 1 position, based in Sumba
Save the Children will implement a comprehensive education program in Sumba island, NTT over the next several years.  The Logistic & Admin Officer for Sponsorship will provide administrative and logistical functionsto ensure it is in line with donor requirement and SCI standard.

JOB RESPONSIBILITIES
  • Provide day to day logistical support to the sponsorship project in Sumba
  • Organise all logistic processes in relation to the sponsorship project, including obtaining competitive bidding process, purchasing and delivering material.
  • Establish and maintain good contact with local suppliers and other NGOs with regards to logistic matters.
  • Manage procurement and storage, including stock records of all material transactions.
  • Obtain quotations and conduct price comparison in order to get best deals.
  • Develop and maintain records of expenditure, receipt, local order forms, etc.
  • Maintain asset inventory control system.
  • Ensure that SCI’s polices for logistic procedures, ordering, stock keeping etc. is followed.
  • Provide reception functions, including answer the telephone and welcome visitors to the field office.
  • Make travel and meeting arrangements as well as hotel bookings and manage administration filing.
  • Arrange and distribute all incoming and outgoing correspondence.
  • Process supporting document for utilities payment.
  • Arrange for the office accommodation and facilities, such as furniture, telephones, meeting rooms.
QUALIFICATIONS

Education: Minimum Diploma 3 or bachelor degree in relevant studies

Skills and Knowledge:
  • Solid experience in admin and logistic management
  • Good understanding of English
  • Excellent interpersonal skills
  • Good interpersonal and communication skills
  • Good negotiation skills
  • Ability to work with minimum supervision
  • Good computer skill particularly in MS application (Word and Excell)
  • Good sense of prioritization
  • Conscious about meeting deadlines
