II. Organizational Context and Scope 
  
I-Care (IOM Circle of Care for Displaced Persons in Indonesia)Project is an 18-months project, focused on designing and delivering care services for about 3,000 displaced persons in Indonesia. I-Care’s main activity sets as the following : (a) vulnerability mapping of target groups; (b) training/coordinating NGO I-Care service providers; (c) deliver of targeted I-Care services to target groups; in the areas of : (1) life-skills development; (2) social support; and (3) educational support – in no less than 10 project locations nationwide. 
  
Under the direct supervision of the Project Manager and overall oversight of the Deputy Chief of Mission, the Project Assistant will be responsible for providing project implementation support, in the area of activity planning, implementation, and tracking. 
  
III. Responsibilities and Accountabilities 

  • Maintain regular coordination with all I-Care staff in the field, pertinent to ensuring all activities are carried out in a timely manner. 
  • Maintain  individual work-plans of all I-Care staff, towards a composite I-Care work-plan, and to be updated quarterly, or as necessary. 
  • Design a project filing system of all project documentation,  reports, and communications –  information management for I-Care. 
  • Carry out Bahasa to English translations, and vice-versa – of any and all project documentation, as requested. 
  • Maintain a project partners’ roster and directory. 
  • Represent IOM’s project in meetings, if/when requested by the Project Manager and coordinate meetings, workshops and functions as needed.
  • Prepare project related supporting materials including PowerPoint presentations and present those materials to Government of Indonesia (GoI) counterparts when requested by the Project Manager. 
  • Draft project letters  and other communications. 
  • Assist in developing outreach materials/approaches for I-Care. 
  • Assist in drafting of regular reports for ongoing activities. 
  • Perform other duties as may be assigned, including travel.

Technical 
  
a)      Proven ability and experience in liaising with UN, Government Departments/Authorities and other international organizations; 
b)     Experience in preparing official documentation relating to project document, project report,  administration, procurement, finance and security. 
c)      Experience in working on migration management/irregular migration activities, with exposure to Imigrasi processes, as well as, beneficiary context. 
d)     Effective organizational skill and ability to establish priorities and plans, ability to work under pressure and cope with deadlines. 
e)      Excellent written and spoken communications skills, good interpersonal skills, ability to work in a multi - cultural environment and good working in team. 

V. Education and Experience 
  
a)     Indonesian National with good knowledge of, and experience in project implementation and operational. 
a)      University degree in Communications, Law, Economics, or Political/Social Science. 
b)     At least five years of experience in any of these fields including at least one year of working experience on projects with field implementation. 
f)       Experience liaising with Indonesian government officials. 
g)      Familiarity with IOM’s administration and project coordination functions is advantage. 
  

VI. Languages 
  
Language: Thorough knowledge of English and Bahasa Indonesia
