The American Red Cross helps
vulnerable people around the world to prevent, prepare for and respond to disasters, complex humanitarian emergencies and life-threatening health conditions. It is a member of the International Federation of Red Cross and Red Crescent Societies (IFRC) and works with Palang Merah Indonesia. Following the completion of the Tsunami Recovery Program (TRP) in June 2010, American Red Cross is presently developing an Indonesia Recovery Program (IRP) . The IRP Program will be focusing on four main areas: Water & Sanitation, Health, Disaster Management, and Organizational Development. To support those programs, the American Red Cross needs an Admin & Logistic Officer position in the back office to provide necessary logistic and administration support for the program team in running the projects.

Job Purpose
The Admin & Logistic Officer under the direct supervision of HR & Admin Manager, s/he will provide the American RC Operation in country with professional Logistic including procurement and day to day admin support and advice.
Job duties and responsibilities Administration function
- Assist HR & Admin Manager to run the daily administrative and logistic work for Jakarta and Banda Aceh office including handling the necessary documents of visitors
- Perform the Receptionist function (receipt visitor, answering phone, welcoming staff/guest)
- Maintain general filing related to Admin including coordinate/maintain back up data for all file in the server and laptop.
- Regular up dating staff contact list for Aceh and Jakarta
- Coordinate with IFRC and agent (if necessary) for visa process of delegates, new coming delegates and staff.
- Arrange the travel and accommodation as requested for domestic trips, including to update the welcome kit for visitor
- Ensure Jakarta office is fully equipped with necessary office supplies – maintain materials use log/record
- Supervise the schedule of the drivers and office boy/girl (if any)
- Monitor fuel consumption and coordinate with driver to monitor the vehicle maintenance schedule.
- Arrange the delivery shipment for items to be sent to other office or area
- Perform additional assignment as requested by CR and Supervisor
- Fill in for HR and Admin Manager when absent or on leave
Procurement and Logistic function
- In charge in procurement process for Aceh and Jakarta Office based on request and activities plan
- Regularly up dated the procurement and shipment items.
- Maintain Asset data base and movement
- In charge for arranging and maintaining the warehouse or storage
- Establish and maintain inventory of all items – including equipment, materials and office supplies kept in JKT office
Position requirements
Education
Education
- Min. Diploma degree in Administration, Business, Management, PR or related field
Experience
- 3 years experience in related field
- 2 years experience in INGO
- 1 years experience in Supervisory level
- Red Cross background is preferable
Knowledge and skills
- Good knowledge regarding incoming and outgoing mail process
- Good knowledge regarding procurement and asset management process
- Good knowledge regarding visa process
- Able to work with Microsoft Office including Ms Word, Excell and Powerpoint
- Wide networking among related vendors and having negotiation skill
Languages

Fluently spoken and written in English

- Able to work independently or in team with less supervisory guidance
