JOB DESCRIPTION READI PROJECT ASSISTANT

1. Background
The Regional EU-ASEAN Dialogue Instrument (READI) has the objective to present policy options and assist in building the foundations for ASEAN community in non-trade areas by sharing knowledge and experience between the regulatory systems of EU and ASEAN and establishing greater transparency and understanding between the two regions. READI may also support ASEAN in drafting its policy papers, defining its targeted results, and elaborating its work plans.

READI was launched on 12 September 2011 and will initially run until mid-2015. It supports policy dialogues between ASEAN and the EU in a variety of areas: Information and Communication Technology (ICT), Energy, Science & Technology, Disaster Management, Education, Human Rights, Political Relations, Climate Change, Maritime Cooperation, etc.

2. General Description of the Position
The Project Assistant will provide continuous secretarial support to the READI Team in the ASEAN Secretariat in Jakarta. The Project Assistant reports to the READI Team Leader, who is also based in the ASEAN Secretariat, and for financial administration also to the Project Manager based in Madrid, Spain.

3. Description of detailed Tasks
The Project Assistant will:
  • responsibly manage all general office administration tasks;
  • prepare various meetings (including the drafting of meeting minutes and reports);
  • manage the READI agenda of meetings and events;
  • event organisation of READI activities in ASEAN and EU (management of participants, travel, accommodation, visa, per diem, material, venues, equipment, etc.)
  • support the Team Leader in compiling READI work plans and six-monthly reports;
  • general financial management and accounting;
  • communicating with READI Team, backstopping firm, participants and stakeholders;
  • preparing of READI events (planning, logistics, material, etc.);
  • liaising with relevant division of the ASEAN Secretariat;
  • liaising with relevant partners in the EU and its delegation in Jakarta;
  • updating the READI web site;
  • support READI key experts to allow them to function in Jakarta;
  • support READI key experts at READI events in ASEAN or EU;
  • liaise with other EU-ASEAN projects.
4. Qualifications and Skills

Qualifications and Skills
  • Excellent oral and written English language skills, fluent in Indonesian;
  • Excellent communication and interpersonal skills and ability to interact with high level business executives, academia and government officials;
  • Computer literacy, especially MS Office (Word, Excel, PowerPoint and Outlook);
  • Very good ability to self-organise work and priorities;
  • Basic skills in financial administration/accounting;
  • Ability to draft reports and meeting minutes;
  • Ability to work flexibly and under time pressure;
  • Degree in political science, international relations, English language, international business or other relevant discipline would be an asset.
Professional experience
  • At least 5 years of working experience;
  • Knowledge of or prior working experience in the ASEAN Secretariat and/or EU-ASEAN cooperation;
  • Basic knowledge of EU-ASEAN cooperation would be an asset.
5. Location and Duration of the Assignment:
Location of the assignment will be Jakarta, Indonesia. Duty travel may be part of the assignment. The assignment will run from the date of contracting until mid-2015 with the possibility of extension.
