KNCV Tuberculosis Foundation Job Vacancy: Head of Project Management, DKI Jakarta

Yayasan KNCV Indonesia promotes effective, efficient, innovative and sustainable tuberculosis control strategies in Indonesia. We are an organization of passionate TB professionals, including doctors, researchers, training experts, and epidemiologists. We aim to stop the spread of the TB epidemic and to prevent the further spread of drug-resistant TB.


Currently Yayasan KNCV Indonesia is looking for a: Head of Project Management

Duty Station: DKI Jakarta

The Head of Project Management will lead the Project Management Unit to play a strategic role on the management of YKI projects, to ensure effective implementation and in line with YKI strategy.

Working closely with Project/Technical Team, the Head of Project Management will be responsible for project planning, including the development of annual work plans/budgets. S/he will also be responsible for monitoring the implementation of activities to ensure close adherence to the agreed work plan.

The Head of Project Management will work closely with the Finance and Administration Departments to oversee/monitor project activities and budgets, ensuring expenditure is in line with the budget and compliant with YKI, donors and GoI regulations. The project management team will be responsible for providing administrative/finance support to the technical team.

In addition, the Head of Project Management will be responsible for the development and effective implementation of the following:
  • Project organization and communication charts
  • Project Management Manual.
Key Responsibilities include:
  • Lead and oversee the development and implementation of Project organization and communication charts and YKI Project Management Manual.
  • In coordination with the Project/Technical Team develop the YKI annual work plans and budgets.
  • Review work plans (monthly and quarterly) including the Terms of Reference, with the Project/Technical Team to ensure that the activities proposed are in line with YKI strategy.
  • Compile quarterly activity plans to be shared with partners and donors.
  • Ensure that all technical staff travel/fund requests are in accordance with approved TOR, work plans and budgets.
  • Oversee the YKI Technical Budget, monitoring budget vs expenditure and provide analysis of budget absorption and activity progress on a monthly basis to the Management Team.
  • Track the progress and quality of work being performed, overseeing and monitoring progress, ensuring that activities proceed according to the work plan.
  • Ensure the Project Management team provides support to the technical team in a timely and cost effective manner.
  • Ensure the Project Management team provides timely and effective communication and support to Project Managers and Technical Officers in the field.
  • Keep the Management Team well informed about the project status and inform them immediately if any issues arise, proactively try to find solutions to problems and make recommendations.
  • Effectively and accurately communicate relevant project information to others as needed
  • Ensuring project administration and implementation is compliant with YKI operational manual and in line with YKI, donors and GoI rules and regulations.
  • Communicate ideas for improving YKI processes with a positive and constructive attitude, and for developing this attitude in others.
Qualifications and Competencies: 
  • Master degree in management, public health or other related field.
  • Minimum 5 years’ experience working in administration and program management ideally in an Health Program Management and International non-government organization.
  • Proven competency in managing complex health programs.
  • Demonstrated understanding and experience in budget setting and management.
  • Strong human resource management skills.
  • Excellent analytical and problem-solving skills, with a strong eye for detail.
  • Proactive approach to service provision, as well as the ability to organize partnerships and maintain good relations within internal and external YKI.
  • Clear interest and experience in non-government development work.
  • Excellent facilitation and management skills.
  • Exceptionally proficient at MS Office suite.
  • Strong written and oral communication/presentation skills, in both Bahasa Indonesia and English.
  • Ability to create a supportive working environment amongst all staff.
  • Ability to work as part of a multi-cultural team and independently.
  • Professional, Motivated and willing to learn.
  • Ability to work under pressure, prioritise, schedule and balance workloads in the face of conflicting and uneven demands to meet deadlines
  • Diligent and honest with the ability to work well in a complex environment, task-switching, priorities and tight deadlines.
  • Willing to travel and support internal/external events as needed.
