CWS International Job Vacancy: Operation Assistant, Palu - Central Sulawesi

CWS Indonesia is an international relief, development, and refugee assistance agency that has been operating in Indonesia for many years under an agreement with the Ministry of Social Affairs. CWS Indonesia is the field office of CWS, Inc., headquartered in New York. CWS assists the most vulnerable, regardless of their religion, race, ethnicity, or gender.


CWS is currently implementing an Earthquake and Tsunami Relief Program in Central Sulawesi prioritizing on WASH , Shelter, Non Food Item (NFI) Distribution, protection (including Child Protection).

CWS is now looking to fill the following vacancy: Operation Assistant, Palu based – 1 person

JOB SUMMARY:
The Operation Assistant is required to help for administration of the office in Palu. The Operation Assistant should also assist the Program Manager and (Senior) Operation Officer with all correspondences. The position also requires coordination/communication with all CWS staff in Palu office. An ability to work independently and as part of a “team” is desirable.

RESPONSIBILITIES AND TASKS:

Secretarial Job
  1. Answer telephone and relay messages for office staff;
  2. To be responsible for the recording and filing of official documents and mails;
  3. Greet and provide hospitality to office guests;
  4. Prepare accommodation for office guests;
  5. Arrange for domestic and international travel of staff and CWS guests;
  6. Prepare venue, logistics, and meals for office meetings;
  7. Maintain an updated phone tree of Central Sulawesi office.
  8. Do document translation from Bahasa Indonesia to English (and vice versa) as requested.
Office Administration
  1. To be responsible for maintaining the records of all assets, inventory, and supplies of CWS Indonesia used in Central Sulawesi Office.
  2. Coordinate the use of office vehicles and equipment.
  3. Purchase the needs of office supplies and stationery.
  4. Maintain records of office supplies and stationery.
Office Building and Equipment Repair, Maintenance and Service
  1. Arrange the repair and maintenance of the office building including all facilities provided by the office (such as: Air Conditioners, Telephone, Toilets, Bulbs, Generator Set, etc).
  2. Maintain good relationship with the Landlord and coordinate any repair and maintenance of the building with the Landlord, as well as any payments such as Land and Building Tax.
  3. Be responsible for the maintenance of the office cleanliness and healthy environment and efficiency.
  4. Coordinate office keys and security.
Other
  1. Maintain personnel administration which includes but not limited to attendance records, leave records, medical records.
  2. To do other tasks as requested by the Program Manager and the Senior Operation Officer.What is the job about? Enter the overall description of your job.
Job Requirements
  1. Hold minimum Diploma III in Economics, or business administration, or English Literature, or any other social science field.
  2. Preferably one year experience working in related administration field.
  3. Experience in managing meetings, workshops, traveling and scheduling.
  4. Experience working in INGO or International environment would be beneficial.
  5. Ability to interact and communicate with wide range of stakeholders (NGO networks, government institutions, Donors, suppliers, and beneficiaries).
  6. Demonstrate high level of ethical commitment and trustworthiness.
  7. Ability to work in a team and or/independently with minimum supervision and to handle multi tasking jobs.
  8. Good analytical and problem solving skills.
  9. Possess computer skills, including internet-based communication/ and various office applications (Microsoft Words, Excel, and Power Point).
  10. Good interpersonal and communication skills in both spoken and written Bahasa Indonesia and English.
  11. Ability to meet deadlines and prioritize workload.
  12. Willing to work extra hours in stressful and emergency situation.
  13. Willing to travel to project sites frequently.
