Human Resources Officer

  1. Location: Country Office , Jakarta
  2. Duration: 12 Months (extention posibility)
  3. Reporting Line: HR Manager and Country Director
  4. Recruitment procedure:

Daily job duties and responsibilities of today’s HR Officer include:
  1. Answering employee questions
  2. Processing incoming mail
  3. Creating and distributing documents
  4. Providing customer service to organization employees
  5. Serving as a point of contact with benefit vendors/administrators
  6. Maintaining computer system by updating and entering data
  7. Setting appointments and arranging meetings
  8. Maintaining calendars of HR management team
  9. Compiling reports and spreadsheets and preparing spreadsheets
Recruitment/New Hire Process
  1. Participating in recruitment efforts
  2. Posting job ads and organizing resumes and job applications
  3. Scheduling job interviews and assisting in interview process
  4. Collecting employment and tax information
  5. Ensuring background and reference checks are completed
  6. Preparing new employee files
  7. Overseeing the completion of compensation and benefit documentation
  8. Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
  9. Conducting benefit enrollment process
  10. Administering new employment assessments
  11. Serving as a point person for all new employee questions
Payroll and Benefits Administration 
  1. Processing payroll, which includes ensuring vacation and sick time are tracked in the system
  2. Answering payroll questions
  3. Facilitating resolutions to any payroll errors
  4. Participating in benefits tasks, such as claim resolutions, reconciling benefits statements, and approving invoices for payment
  5. Mutation BPJS Tenaga kerja, BPJS Health and Insurance accounts
Record Maintenance
  1. Maintaining current HR files and databases
  2. Updating and maintaining employee benefits, employment status, and similar records
  3. Maintaining records related to grievances, performance reviews, and disciplinary actions
  4. Performing file audits to ensure that all required employee documentation is collected and maintained
  5. Performing payroll/benefit-related reconciliations
  6. Performing payroll and benefits audits and recommending any correction action
  7. Completing termination paperwork and assisting with exist interviews
Qualities of Competent HR Officer
To effectively perform the duties of a Human Resources Officer, individuals must be able to demonstrate a number of competencies that are essential to the position, which include:
  1. Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
  2. Must possess strong interpersonal skills
  3. Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
  4. Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  5. Must be able to prioritize and plan work activities as to use time efficiently
  6. Must be organized, accurate, thorough, and able to monitor work for quality
  7. Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
HR Officer Requirements:
  1. Bachelors degree in Human Resources or related (essential).
  2. 3 years of experience as an HR Assistant (essential).
  3. Exposure to Labor Law and employment equity regulations.
  4. Effective HR administration and people management skills.
  5. Exposure to payroll practices.
  6. Full understanding of HR functions and best practices.
  7. Excellent written and verbal communication skills are a must.
  8. Works well under pressure and meets tight deadlines.
  9. Highly computer literate
  10. Meticulous attention to detail.
  11. Ability to accurately follow instructions.
