Conservation International Job Vacancy: Kaimana Operations Coordinator, West Papua

We are constantly growing and expanding into areas new and old. We are currently looking to fill the following position for our office in *Kaimana, West Papua:*

*Kaimana Operations Coordinator(K-OC)*


This position is responsible to maintain the operation function within the field program, ensuring that it meets/complies to CI standards operation procedures. Operation function is included: finance, administration, procurement and human resources. He/she is responsible to maintain the finance and accounting function within the field program, ensuring that it meets/complies to CI standards and applied accounting system. Also, ensuring smooth functioning of the office operations by providing full assistance and support to the whole administrative. Reports directly to Finance Manager in Jakarta and work closely with Kaimana Program Manager to support day to day office activities to ensure optimum utilization of CI resources and support to program implementation.

*Key Responsibility:*

*Financial and Accounting Management*
  • Prepares the project monthly cash request according to the workplan
  • Assists on project budget development
  • Prepare monthly budget monitoring
  • Responsible for cash management and bank matters.
  • Make sure that monthly financial reports are received and submitted on a timely basis;
  • Conduct auditing prior submission the report; ensure all expenditure transaction for accuracy,
  • Adequate supporting documentation, proper authorization,
  • Ensure compliance with internal policies and funder requirements,
  • Proper recording of project and account numbers and availability of budgeted funds
*Finance System and other CI's system:*
  • Implement & maintain accounting system as well as other CI’s policy and procedures;
  • Serve as a point person to ensure compliance with operations policies and procedures.
*Human Resources:*
  • Records staff leave and send the updated record on a monthly basis to HR Jakarta.
  • Process staff medical reimbursement and inpatient and ensure complete documentations.
  • Handle outsource staff including the service contract with outsource company.
  • Assist on staff issue by working closely with HR Jakarta.
  • Work closely with HR Jakarta to assist recruitment of Short-Term contract and work agreement Consultant.
  • Act as vocal point for Kaimana staff related to HR matters.er
*Admin & Logistic*
  • Ensure that travel arrangements are implemented according to CI’s rules and regulation.
  • Ensure office equipment list is maintained and updated and conduct regular physical check in;
  • Ensure vehicles are maintained (i.e. vehicle log, regular service,), conduct regular physical check.
  • Ensure that all events or meeting administration be handled by person in charge and follow CI regulation properly
*Minimum Required*
  • College degree, majoring in accounting with at least 3 years related working experiences
  • Experienced working with computerized accounting system (Business World is preferred)
  • Good understanding on complex accounting/financial issues, spreadsheet and simple financial system
  • Good understanding on procurement process and procedure
  • Effective in verbal and written communication, multi-tasking, organizational and prioritization.
  • Computer skills with strong familiarity of word processing, spreadsheet, database and ability to communicate electronically;
  • Excellent administrative skills. Ability to work well with people and display “problem solving” attitude.
  • Good verbal and written communication skills in English.
  • Display good leadership skills
  • Understand Indonesia Tax rules.
*Preferred*
  • Preferable working experience with INGO
  • Solution oriented and possess conflict resolution skills
  • Experience in working with web-base system including Business World programs.
