We are currently looking to fill the following position for our office in Manokwari:
Manokwari Operation Officer (Mn-OO)
Field Operation Officer will be supervised by Finance Coordinator and also dotted report to the West Papua Senior Program Manager. He/she is required to ensure proper administration, field HR needs (assist of recruitment, handle outsourced staff, process outpatient and inpatient claim, annual leave records, etc) with accurate and timely processing, reporting and monitoring of finance transactions, and to implement finance procedures in accordance with CI Indonesia’s policies and procedures for accountable and reliable report.
Key Responsibility:
Finance
- Handle Kaimana Office Petty Cash, preparing and executing bank disbursements.
- Review Travel Expense Report to comply with CI regulation and ensure Travel/program advances are cleared in timely manner.
- Handling payment of local transport/fee/per diem of participants/speakers/of event/ workshops/ meeting.
- Assist Supervisor/ Program Manager in preparing travel and honor agreement.
- Enter transactions according to account code into computerized finance system and GL, ensure proper donor coding
- Prepare and produce monthly Finance Reports, including prepare reconciliation of balance report for Manokwari office and deliver to Jakarta office.
- Assist in arranging meeting, workshop and events (venue selection, logistics arrangement, materials, and communication with participants).
- Organize Filing System and information including handling incoming and outgoing letter/mail.
- Purchase regular office supplies (stationery and groceries), and maintain the office supplies inventory
- Maintain Manokwari Office Inventory list conduct physical checking periodically.
- Handling regular office payment i.e.: utilities, Telephone, Internet, Car Rent, Outsource Payment and etc.
- Supervise outsource staff (Guard, Office Support).
- Process outpatient reimbursement and update the record every month. This include in-patient process reimbursement
- Maintain good record of leave taken by staff and send leave form to HR for verification
- Assist staff in completing their timesheet by 4th every month.
- Assist HR in recruitment process of field-based position.
- Preferable - 2 years relevant work experience in Finance and Administration.
- Effective verbal and written communication, multi-tasking, organizational, prioritization skills.
- Ability to follow procedures, meet deadlines and work independently and with team members. Fluency in verbal and writing of English and Bahasa Indonesia are important.
- Computer skills with strong familiarity of word processing, spreadsheets, and database software are mandatory.
- An understanding of QuickBooks program is an advantage.
