Working Conditions

Assignment Summary
RedR Indonesia in partnership with the BPBD Sleman and Forum PRB DIY with the support from UNICEF is commencing a project called “Update Merapi Contingency Plan of Sleman District, Daerah Istimewa Yogyakarta”. The project aims to explore good practices and future preparedness challenges in facing possible threats of Merapi which is developed base on empirical studies on the field.

This project is expected to be able to support and improve the harmonisation and coordination mechanisms among BPBD Sleman and other stakeholders (FPRB, NGO, PMI, University, etc.) in preparedness for Merapi’s potential eruptions. The project will also receive guidance from national authorities (Kemensos, BNPB and other related government institutions at national level) and in turn will provide necessary recommendations for policy and methodology improvement as appropriate to those authorities.

The Information Management Project Assistant is responsible for assisting Project Technical Advisor and ensure the objectives and outputs of the project are met. S/he should work closely with other Technical Assistance Team to achieve all deliverables set in the Project Document and contract document. The duty station is Yogyakarta.

Main Responsibilities
Under the direct supervision of the Project Technical Advisor, the Information Management Project Assistant are responsible for the following duties:
  • Assist Project Technical Advisor in developing draft of contingency plan document (update)
  • Ensure all data and information gathered during meeting, FGD, workshop is managed accordingly
  • Compile and review all data and information for the contingency plan document
  • Design and operate information management system to support the contingency plan
  • Assist Project Technical Advisor in ensuring proper oversight of project activities and results
  • Assist Project Technical Advisor in implementing workplan of the contingency plan activities and in monitoring the progress of activities
  • Assist Project Technical Advisor in regular reporting to RedR Indonesia, UNICEF and other relevant partners
  • Assist Project Technical Advisor in reviewing the project status and in providing technical recommendation and/or corrective actions
  • Assist Project Technical Advisor in overall management and administration of the project
  • Assist Project Technical Advisor in meeting, FGD, workshop, and other project related activities.
  • Assist the logistic arrangement with the project
  • Assist in file management and ensure ease of retrieval of documents
  • Assist Project Technical Advisor in ensuring the objective of knowledge management of the project is achieved:
  • Work closely with photographer and videographer in capturing the process of updating contingency plan
  • Create and manage folder for the videos and photos
  • Assist Project Technical Advisor in developing guidance for contingency plan
  • Ensure the guidance of contingency plan met UNICEF and RedR standards.
Requirements

Education
  • Bachelor’s degree in information management, information technology or relevant field (relevant experience may substitute relevant degree)
Skills & Competencies
  • 3 years’ experience in relevant field
  • Excellent written and verbal English
  • Excellent organisational and coordination skills
  • Ability to perform complex tasks and act upon priorities
  • Strong interpersonal and communication skills
