NLR Indonesia is a national foundation, member of NLR Alliance. NLR Indonesia's main programs are leprosy control, prevention of disability, inclusive development for persons with disabilities, and cross-cutting interventions on reducing stigma and discrimination for people affected by leprosy and persons with disabilities. NLR Indonesia’s approaches are capacity building, awareness-raising, lobby and advocacy, and piloting innovative approaches and building networks. NLR Indonesia partners with disabled people organizations, civil society organizations, educational institutions, as well as local governments and ministries/government institutions.Currently Yayasan NLR Indonesia is URGENTLY looking for: Admin and Logistic Officer based in Jakarta
Together with HR Officer, Admin & Logistic Officer ensure the smooth running of the organization's activities by organizing everything related to administration (human resources, operations, and finance), logistics, governance, and office facilities.
Key Responsibilities:
- Handle and oversee all matters relating to office administration, including front-office, correspondence, processing permits, office equipment, and ensuring the Information and Technology system runs smoothly.
- Organize activities (meetings, training, workshops, official trips) and handle logistical and administrative needs (programs and non-programs) including;
- Arrange budgets (including meeting, accommodation, and transportation packages) for the implementation of program workshops conducted by Yayasan NLR Indonesia; based on activity documents that have been approved by Executive Director.
- Preparing materials and all the logistical needs needed for the implementation of the workshop mentioned above.
- Make financial reports on the implementation of activities that have been carried out.
- Arrange transportation, accommodation, and travel advance applications for staff who will carry out official travel.
- Prepare documents needed by staff, including making passports, visas and other documents needed for the purposes of official travel (domestic and foreign)
- Prepare administrative documents related to programs such as letters, e-mail, and fax.
- Manage office maintenance, including office buildings, workspace, cleaning, electricity, telephone, internet, and security and management of office equipment and supplies, etc.
- Manage procurement of goods (including stationery, office equipment, household) and agreements with external parties.
- Assist the Finance Unit in managing and recording the Petty Cash for the purpose of paying for operational activities.
- Independently manage correspondence, including drafting and filing.
- Minimum D3 graduates, majoring in Business Administration/Secretary.
- Minimum 3 years experience in administration and secretarial fields.
- Knowledge of procurement of goods and logistics.
- Able to work with minimal supervision.
- Able to work under pressure and still refer to strict deadlines.
- Able to prioritize work.
- Good in English and Indonesian, both verbal and written.
- Correspondence writing skills.
